Why Can’t I See My Students?

There are a number of reasons why you might not be able to see your students:

1.  When logged into Arbor, can you see the lesson you’re supposed to be teaching on the left within the box ‘My Calendar’?  

Yes - Click into the appropriate lesson, select ‘Take register

No - Go to step 2.

 

2. Select Students > Attendance, choose the correct date and am/pm session from the drop down on the top right.

Can you see the lesson you should be teaching?

Yes - Go to 2a

No - No timetable slot - go to point 4

 

2a.  Is your name alongside this class?

Yes - Select the class and ‘Take register’

No - Go to 2b

 

2b. Is someone else's name alongside the class?

Yes - the class has been wrongly assigned to another member of staff. Please speak to your admin. Admin - go to point 3a

No names are showing - the class hasn’t been assigned to anyone. Please speak to your admin. Admin- go to point 3b

 

Admin:

3a. For registration forms

Go to Students > Enrolment > Registration forms. Choose the class. Click on the existing incorrect teacher under ‘Form Tutors’.  Choose ‘edit’ and amend the end date of the incorrect form tutor to reflect the appropriate dates.

Choose Add’ on the right-hand side of the form tutor box.  Select the staff member who teaches this class and dates associated as appropriate.  Select the tickbox ‘assign to courses’.

Select School > Programmes > (correct academic year) Courses.  Select the appropriate course (opening up ‘+’ options as necessary).  Check the academic lead has been updated with the correct teacher.

Note: You may need to end the incorrect teacher’s details within ‘Academic Lead’ here.

 

For secondary school subjects

 

Select School > Programmes > (appropriate academic year) Courses.  Select the appropriate course, opening up ‘+’ options as necessary within subjects to get to the class for which you want to change the teacher.

Click on the existing incorrect teacher under ‘Academic lead’.  Choose ‘edit’ and amend the end date of the incorrect form tutor to reflect the appropriate dates.

Under ‘Academic Lead’ choose ‘Add’ on the right-hand side.  Select the staff member who teaches this class and dates associated as appropriate.

 

3b. For registration forms

3b.1 Select Students > Enrolment > Registration forms. Choose the class. If there is no form tutor assigned, choose ‘Add’ on the right-hand side of this box.  Select the staff member who teaches this class and dates associated as appropriate.  Select the tick box ‘assign to courses’.

3b.2 Select School > Programmes > (appropriate academic year) Courses.  Select the appropriate course (opening up ‘+’ options as appropriate).  Check the academic lead has been updated with the correct teacher.

 

For secondary school subjects

If this issue is linked to a registration form, please follow the same method as defined for primary schools.

 

If this is linked to subjects within the timetable, select School > Programmes > (appropriate academic year) Courses.  Select the appropriate course, opening up ‘+’ options as necessary within subjects to get to the class/set for which you want to change the teacher.

Under ‘Academic Lead’ choose ‘Add’ on the right-hand side.  Select the staff member who teaches this class and dates associated as appropriate.

 

4. If you cannot see the lesson you should be teaching, please consult your admin team.  They should follow the next steps: Select School > Programmes > (appropriate academic year) Courses.  Select the appropriate course (opening up ‘+’ options as necessary).  

 

Under ‘Classes & lessons’, can you see the relevant day, time and date range for the lesson you should be teaching?

 

Yes- click into the correct row, select ‘refresh timetable slot’. Repeat from step 2.

No - Select ‘+Add’ choose to schedule either a one off single lesson or multiple lessons, depending on what you can see is already scheduled and what is required.

 

Schedule these lessons for the dates required. Continue from step 2.
