Before you send us your SIMS backup, we need to confirm your migration date. If you haven't done this already, please contact your Customer Success Manager (CSM) to agree on a migration date.
1. Log in to your server
If your SIMS server is in your school, the steps below will need to be completed by accessing this server. You will need the “System Admin Credentials” to SIMS to be able to log in and download the backup. Normally the data controller at your school will have these credentials.
If your server is hosted by a 3rd party i.e Capita SIMS, you will need to request they export the backup for you, in some cases you may need to go through their off boarding department and sign a data release form.
2. Generate a backup
To create your SIMS backup, follow our detailed instructions here, with handy screenshots to help you through all the steps.
Once your backup has been generated you should have a .bak file saved on your computer.
The size of your backup file depends on the size of your school, and how much data you have saved on SIMS. For Primary schools, this usually varies between 450MB and 1.5GB, and for Secondary schools, it may be up to 20GB.
The name of the file will contain the date and the word SIMS and be in a .bak format, for example, sims_20170724_154816.bak
If you have stored documents, or linked documents in SIMS and you want these to be migrated into Arbor, you will also have to send us your Document Management Server (DMS) backup.
As outlined in the instructions above, you will have needed to have ticked the option to include your Document Management Server backup when you generated your SIMS backup.
It is important to note, this file will be saved to the backup location specified during the document server install. If you can’t remember the path, it is listed in the document server config file, at:
C:\Program Files (x86)\SIMS\SIMS .net Document Server\SIMSDocumentServer_%ServerName%.config where %ServerName% is the name of the server your DMS is installed on.
The name of the folder containing the backups will be prefixed with “backup”.
3. Upload your backup
Following your kick-off call, your CSM will have sent you a secure link where you can upload your backup file and DMS to us securely. If you don’t have the link please contact us.
4. Wait for further instructions
As soon as the backup is uploaded via the secure portal, Arbor will check the file to make sure it's correct. When the checks are complete, we will start migrating your data.
We start the migration process as soon as the backup is received; this can take up to 5 working days.
As soon as your new Arbor MIS is ready, we will send your SLT a welcome email with confirmation your migration is complete and instructions on how to log in to your site.
