How to book your Arbor Academy Training

Before you book your Arbor Academy training, please read through the information below to ensure you are confident in booking your training including who needs to book/attend the training and how to prepare for the training once booked.

Step 1: Notification to book training received

Primary schools in Digital Onboarding


During your digital onboarding journey, you will receive and email from us in your 1st or 2nd week to remind you to book your training.  Included in this email will be your booking reference code. This is a 15 digit code made up of numbers and letters and will be the same code for all bookings made by your school.

Please note: If you were sent your Booking Reference Code before 2nd June 2021, you may have received a 4-6 digit code instead. You can still use this code for bookings if required.


In order to know what you can book, you will need to refer to your contract to see what training is purchased. If you have purchased any non-Arbor Academy training, such as an Assessment Consultation or Behaviour Needs Requirement, you will need to follow the process in this article.

Once you have been notified that it's time to book your training and have your have received your booking reference code you can follow the rest of the steps in this article to book your Arbor Academy training.



Schools already live on Arbor


You will receive an email from your Account Manager or a member of our Account Management Team confirming your purchase of an Arbor Academy service. In this email will be the following information:

  • The service you have purchased e.g. Arbor Academy Parental Engagement
  • Your Booking Reference code - a 15 digit code made up of numbers and letters.
  • A link to this article and the Arbor Academy booking article

    Please note: Some Schools/MATs will have received a shorter booking reference code. This can also be used to book training if required.

Once you have received this email you can then follow the steps below to book your Arbor Academy training.

  

Step 2: Booking onto the training sessions

Each Arbor Academy session is booked via a zoom registration page. Some services may be split into several sessions depending on the type of service purchased.

Before booking there are a few things you need to know:

  1. Only book on to one date for each applicable session (apart from Parental Engagement which is a 5 session course). Your registration request will be denied if you try to book on to multiple dates for the same session.
  2. Only 1 person per school needs to register for the session. Once the booking has been confirmed you will receive a link that you can share with up to 2 other people at your school so they can join too.
  3. You will be able to cancel your booking and re-book if you are unable to attend your original booking.
  4. Please do not book any session due to start in less than 24 hours to ensure you are approved on the session and receive the joining details in time.

 

You are now ready to book your training. Please find instructions on how to book on to each Arbor Academy service below:


Arbor Academy Primary Pre Launch School Operations and Post Launch School Operations


These are offered on a weekly rotation during term time only. Each service is split into two parts and you can join a morning or afternoon session for either part. 

Both parts of the Pre Launch School Operations training should be completed before your school's go live date. 

We recommend you complete both parts of the Post Launch School Operations training in your first term live on Arbor.

  1. Go to this article to access the booking links.
  2. Click on the session you wish to book for part 1 of your training - morning or afternoon. During this step your will also be able to select the date and time of the session you wish to register for.
  3. Complete the Zoom Webinar booking form. For this you will need your work email address and your school's booking reference code.
  4. Repeat the process for Part 2, selecting the morning or afternoon session link and then completing the Zoom Webinar booking form. 

Once registered, please wait for our training team to approve your booking. 

 

Arbor Academy Primary Meals Setup and User Training and Primary Payments Setup and User Training 

 

These sessions happen on a fortnightly rotation - Meals training one week and Payments the next. Just like the School Operations session, we run these as a morning or afternoon option.

Meals or Payments training can be completed at any point in your Arbor journey but should be completed before you start using the system to manage your meals and card payments.

  1. Go to this article to access the booking links.
  2. Click on the session your wish to book for the service you have purchased e.g. Meals Setup and User training (you can choose AM or PM). 
  3. Complete the Zoom Webinar booking form - you will need your work email address and your school's booking reference code for this. During this step your will also be able to select the date and time of the session you wish to register for.

If you have bought both Meals and Payments then you will need to complete the process twice, once to book on the Meals training and again to book on the Payments Training.

Once registered, please wait for our training team to approve your booking. 


Arbor Academy Parental Engagement


Our Arbor Academy Parental Engagement course runs every half term and we run a morning or afternoon option. Each course starts in the first week of the half term and runs weekly for 5 weeks. 

  1. Go to this article to access the booking links
  2. Click on the link for the course you would like to register for, e.g. Summer Term 2 AM course
  3. Complete the Zoom Webinar booking form - you will need your work email address and your school's booking reference code for this. You will be able to see the date and time of all 5 sessions in this step. You only need to book the first session and then you can join all 5 sessions to complete the course.

Once registered, please wait for our training team to approve your booking.


Arbor Academy New School Site Setup


This service is made up of 5 sessions - you will need to register for each session to complete the training. 

  1. Go to this article to access the booking links.
  2. Select the link for New School Site Setup 1
  3. Complete the Zoom Webinar booking form - you will need your work email address and your school's booking reference code for this. During this step your will also be able to select the date and time of the session you wish to register for.
  4. Repeat the process for the other 4 sessions by selecting the relevant links and completing the booking forms.

Once registered, please wait for our training team to approve your booking.

Step 3: Receiving Confirmation of your Booking

Once you have registered for any of the Arbor Academy sessions, our training team will be notified of your registration request. We aim to approve all requests within 48 working hours.

Using your booking reference code we will check your details to ensure you have registered for a purchased course before approving your booking. 

If your registration is approved, you will receive an email (similar to the image below) from our training account to confirm the details of the session including your joining link which can be shared with up to 2 other people.

If your registration is denied, you will receive an email from one of our trainers to explain why this has been denied and any actions required to gain approval. Reasons for registration being denied include:

  • Multiple people from one school registering for the same session
  • One attendee registering for multiple dates for the same session but not cancelling any previous registrations
  • School have not purchased the training or an invoice hasn't been raised by our billing team.
Step 4: Joining and Taking Part in the Training

Before you join your first Arbor training session, please ensure the device you are going to join from is able to access zoom.us. You may need to get your IT team to whitelist this page so you are able to join.

The device you join from should either have adequate speakers or work well with a headset so you can hear the training clearly. You do not need a microphone for Arbor Academy training as all communication takes place via a chat box, interactive polls and a Q&A feature.

We also recommend that you block out time for the attendees (up to 3 devices per Arbor Academy session but people can join together if you have the space for it) to join the sessions without interruption. We understand it is not always easy to cover multiple staff at once so we do always provide resources, including pre-recorded versions of the training, for you to share internally after the session for those who could not join.

If you are unable to join the session, please cancel your registration. However, if something crops up just before the start of the session then you will simply receive an email 24 hours later asking you to re-register for the training at another convenient time.
