Secure Upload Portal FAQ

Each school that is moving to Arbor has a Secure Upload Portal (SUP), which should be used to securely send us the data from your current MIS on your agreed migration date. This FAQ document will give you some more information on how to access and use your SUP.

What is the Secure Upload Portal?

The SUP allows schools to securely send data from their current MIS to Arbor. Once data has been uploaded to the SUP, the school’s migration to Arbor will begin, and once the migration is complete, the new Arbor MIS will be available to log in to.

When will I receive access to my Secure Upload Portal?

In the week before your migration, the project lead at your school will receive two emails from Arbor containing the information you will need to access your SUP.

How do I access the Secure Upload Portal?

The project lead at your school will receive two emails from Arbor containing the information you will need to access your portal.

Email 1 will contain the link to your SUP, and your username.
Email 2 will contain the password to log in to your SUP.

Can I forward the emails?

Yes, only 1 person will receive the emails, so you can forward the emails to other staff members at the school, or your IT Lead/IT company if they are helping you with the data migration process. It is worth noting, however, that once the data is uploaded the migration will begin automatically so you cannot upload multiple different backups so you should agree who will upload the data.

What if a support partner or external IT lead/company is helping us with our migration?

If you are working with an Arbor Support Partner or external IT Company/Lead on your move to Arbor, you can provide them with the SUP details and ask them to upload your data to Arbor on your behalf. Some providers may prefer to download the data to a machine at your school and ask you to upload the data to Arbor yourself. When should we create a backup of the data in our current MIS?

You should create a backup after the PM registers have been completed on your migration day. If you are not sure when your agreed migration day is, please get in touch with the Onboarding Team (myonboarding@arbor-education.com).

You may need to communicate to your wider school team that they should no longer use your current MIS after the backup has been taken and data provided to Arbor - this is because any data entered into your current MIS after this point will not be in your new Arbor MIS.

Some schools prepare to take a paper register if there are any days your school will be operational whilst the migration to Arbor takes place. For example, if you are sending Arbor your data on Thursday PM, you may want to take a paper register for Friday and Monday whilst your migration to Arbor takes place.

When should we upload our data to the portal?

You should upload the data to Arbor no later than 4 pm on your agreed migration date. If you’re unsure of your migration date, please get in touch with the onboarding team at myonboarding@arbor-education.com

How to upload your data to the secure portal

Step 1 - Upload your school's SIMs backup file

Click the upload box and select your backup file which you saved earlier. Tip: this will be either a bak, zip or 7zip file.

If this file is password protected, select ‘yes’ and enter the password into the password box.

Step 2 - Upload your school's DMS file

If Arbor is migrating your attachments, click the upload box and select your DMS file you saved earlier. Tip: this will either be a zip or 7zip file.

Step 3 - Start your migration

Confirm that you have completed all the recommended data checks, then press the Start migration to Arbor button.

Now you just need to sit back and relax. Unless there is a problem (such as an incorrect password or corrupt file), the next you will hear from us is when your new Arbor site is ready!

What to do if there is an error when uploading the data

If an error appears when you are trying to upload your data, please get in touch with myonboarding@arbor-education.com and send us a screenshot of the error.
