Ask Arbor Assistant

provides examples of how best to use the new AI feature. Arbor has several functions that can be performed by our built-in AI tool to create reports, gather information stored in your MIS, and more. This feature is on by default, but if you wish to opt out, see the bottom of this article.

Permissions

Using Arbor AI requires the School: Arbor AI: View Arbor AI permission on your profile. 

 

Ask Arbor Assistant 

To use Arbor AI, click on the 'Ask Arbor' logo in the top right corner of the screen. If you do not see the 'Ask Arbor' logo, it is likely that it has not been enabled in Arbor Labs

After you've clicked the button, the Ask Arbor Assistant slide over will be displayed. 

In the pop-up window, you can see suggested questions to ask, and click on these to get an answer from the chatbot.

You can also type in a question, or click the green speech bubble button to ask your question aloud if you have a functional microphone connected to your computer.
In the screenshot below, you can see that the Ask Arbor Assistant has compiled important attendance information for a specified group of students from the prompt given, and can contextualise its answers if you ask it to provide additional information.

Creating reports

You can ask the Ask Arbor Assistant to create a report for you. After it has created the report, you will be given a link to the created report. You can also ask the Ask Arbor Assistant to create reports for on different criteria based on the context of the conversation. In the screenshot below, the Ask Arbor Assistant was able to make a report on attendance and behaviour with minimal input by the user.

Clicking the links to the reports will bring you to a custom report created by the Ask Arbor Assistant. This report can then be edited, downloaded, and shared like any other custom report in Arbor.

Student information

Ask Arbor Assistant can collect any information that the user has permission to view. For example, in the screenshot below, the Ask Arbor Assistant provided the contact details for a student and was able to create a draft email to schedule a meeting with the student's guardians.

Booking rooms

The Ask Arbor Assistant can also book rooms for meetings. Following on from the conversation above, the Ask Arbor Assistant was able to book a room when requested for the meeting.

Using the Ask Arbor Assistant on specific pages

The Ask Arbor Assistant can gather information specifically for specific pages, including the Lesson Dashboard, from within year groups, and more.

Lesson Dashboard

When you are viewing your class in Arbor, you can use the Ask Arbor Assistant by clicking the button on the right side of the page. This will allow you to enter questions as usual, and these questions will use the data from your class, which you can see at the top of the pop-up window titled (class name) Ask Arbor Assistant 

In the example below, the Ask Arbor Assistant answered a question about behaviour trends over the past few lessons and was then prompted to provide a more detailed breakdown.

Ask Arbor Assistant is also able to provide details on behavioural incidents that were recorded for the class.

Even though using the Ask Arbor Assistant on this page will pull information from your class, it can also provide information derived from other areas, such as this example where the Ask Arbor Assistant provided previous classes for students.

It can also tell you demographic information about the students in the class.

Interventions

When using the Ask Arbor Assistant on the Interventions page of Arbor, you can ask it to create Interventions for you to save you time in setting these up manually. In the screenshot below, for example, the Ask Arbor Assistant created an intervention for male students in Year 3 that runs from the 4th of November until Christmas.

Ask Arbor Assistant will then ask for additional information to complete the setup of the Intervention including staff members, and intervention groups, and then create the necessary timetable slots.

 

Drafting communications

The Ask Arbor Assistant is also able to draft communications for you.Note, you must have the specific Communications the Ask Arbor Assistant in School > Communications > Compose > Email/SMS/In-App Message/Letter permission to do this.

For example, in the screenshot below, the Ask Arbor Assistant has provided an email draft based on the user expressing concern for attendance for a year group.

The link provided by the Ask Arbor Assistant will then take you to a communication draft that it has created, and you can then amend it where needed and add your recipients before continuing to send the email as normal.
