This article details how to turn Arbor AI on or off, and advises on what functions can be used to better utilise this feature.
On By Default
We are turning on Arbor AI (previously called Ask Arbor) by default for all schools.
This means that we will enable Arbor AI and the following features are enabled by default:
- Suggest email & Suggest SMS - tell Arbor what you want to write about, choose a tone of voice and a language, and Arbor will suggest a draft in seconds
- Suggest student summary - Arbor will summarise key data points about your students, and combine them with written comments from you to produce a mini student report
- Suggest a formula - describe what you need to calculate in your Custom Report, and Arbor will create the formula for you and display the results
You will also be able to enable additional Arbor AI features in labs.
All staff in your school will be given the “View Ask Arbor’ permission”. If you want to, you can restrict access from the Arbor AI dashboard.
I want to opt out of Arbor AI
You can opt out of Arbor AI at any time by visiting the Arbor AI dashboard and selecting “Opt-out of Arbor AI”. Selecting “I would like to opt-out of all Arbor AI features” and choosing “Opt-out of Arbor AI” will confirm your opt-out.
You will know that your opt out is confirmed because the ‘Opt-out of Arbor AI’ row under the “General” section will say “Yes”. After you have opted out, you won’t be able to enable any Arbor AI features until you have opted back in.
Opting Back Into Arbor AI
To opt back into Arbor AI, select the ‘Opt-Out of Arbor AI’ row. The slide over will open. Select the ‘I would like to opt-in to Arbor AI features’ checkbox and then click ‘Opt-In to Arbor AI’.
You will know that you have opted back into Arbor AI because you will see the ‘Feature Controls’ section and the ‘Users’ tab of the Arbor AI dashboards.
Controlling Access to Arbor AI
Access to Arbor AI is controlled via the Arbor AI dashboard. You can access it by navigating to ‘School’ and then ‘Arbor AI’ at the top navigation.
Required permissions
Using Arbor AI requires the School: Arbor AI: View Arbor AI permission on your profile. To make changes to Arbor AI in your school, you need the School: Arbor AI: Administer Arbor AI permission.
Assigning permissions
The are two levels of Arbor AI permissions:
- School: Arbor Al: View Arbor Al
- Allows users to use Ask Arbor features.
- School: Arbor Al: Administer Arbor Al
- Allows users to administer Ask Arbor for your school (see Administering Ask Arbor) below.
Adding Users
Users can be added to “view” or “administer” Arbor AI by selecting the ‘Users’ tab in the Arbir AI dashboard.
To add a user or group of users
Click the ‘Add’ button in the top right of the users table. You can either add individual staff members, or whole groups of staff members by their business role. For example, if you search for “All teaching staff”, you can add all of your teachers. When you are happy with your selection, select the ‘Assign Permission’ button.
Removing users
To remove users, select them via the checkboxes next to their names on the left side of the table. Then using the bulk actions, select ‘Remove permission’.
Administering Arbor AI
The ‘(School: Arbor Al: View Arbor Al’ permission allows named users in your school to access the Arbor AI dashboard.
From the Arbor AI dashboard, administrators can:
- Opt in and out of Arbor AI
- Toggle which Arbor AI features are available
- Add and remove staff member’s access to Arbor AI
- Monitor Arbor AI usage
Feature Controls
Arbor AI features can be enabled or disabled for all users by selecting them in the ‘Feature Controls’ section of the Arbor AI dashboard. You can toggle them on and off by selecting their ‘Status’ to ‘Enabled’ or ‘Disabled’ and then clicking ‘Save Changes’.
You will know if a feature is enabled or disabled because a tick or cross will show next to the feature’s name.
Viewing Your Usage
You can view the amount of usage that you have available in from the Arbor AI dashboard.
The Arbor AI dashboard also tells you how many times staff from your school have interacted with each AI feature. As you enable more AI features, then they will appear on the dashboard.
Note: If you want to try an Arbor AI feature that’s in Arbor Labs, it’s usage won’t affect your fair usage allowance. Their usage is on us!
