As well as Approving Data Sharing with Arbor via Groupcall and Installing Xporter on Demand, you must complete several additional checks to ensure you can successfully migrate to Arbor using the Groupcall Xporter on Demand Application. We have listed them below:
Accept Arbor's Terms and Conditions
If you haven't approved our Terms & Conditions in week 2 of your onboarding journey, we won't be able to start your migration on time. Accepting our T&Cs gives us the green light that you're happy to proceed with the migration.
You'll need to log into your Secure Portal (instructions sent via email) and accept T&Cs. Click here for more information.
Approve Data Sharing with Arbor via Groupcall Xporter
Your migration is being facilitated by Groupcall and Arbor so you'll need to approve data sharing with Arbor via Groupcall.
Failure to do this will mean we won't be able to see your data and start your migration on time.
Groupcall have sent you an email asking you to approve data sharing with Arbor. Follow the steps outlined in the email to action this.
Check User Permissions in SIMS
You must ensure the user that has approved the Groupcall data sharing agreement has access to all the required areas of SIMS, so that we can access and migrate the data.

Check that the user who approves the data-sharing agreement has access to the following areas of SIMS:
- Assessment Co-ordinator
- Cover Manager
- Exams Officer (if you are a Secondary School)
- School Administrator
- Senior Management Team
- Personnel Officer*
- Third-Party Reporting
Note: *Personnel Officer is the recommended permission for maximum compatibility, however, if you are not comfortable with this permission, Personnel Data Exporter can be substituted. Read Groupcalls guidance for further information: Best Practices: Xporter and MIS Permissions.
If any of these are missing please make sure they are added to the SIMS user before your migration.
Install Xporter on Demand and Book a Guided Install
We use Groupcall Xporter on Demand to facilitate the migration, without this installed we cannot start your migration on time.
The Xporter app should be installed on the computer that houses your school's data. If your data is held by your Council, Local Authority, or partner, they will need to install this on their end to enable the migration to occur.
You will receive an email from xodlive@groupcallalert.com with the subject “Invitation from Arbor Education to sync your MIS data and complete your setup”.
Follow all steps to install XoD as soon as you receive this email.
There are two options when installing Groupcall Xporter on Demand: Self Install or Guided Install, we recommend booking a Guided Install so Groupcall can install on your behalf and ensure everything is set up correctly.
After you have approved data sharing, if you don't already have Groupcall Xporter on Demand installed, you can select a ‘self-install’ or book an onboarding slot with the Groupcall support team, who will call you to request remote access to the SIMS server and install XoD on your behalf - this is the recommended approach.
Important: Some schools already use Xporter to connect other 3rd party applications to the MIS. If you already use Xporter on Demand you won’t need to install it again, but you can check if you have it installed/it is working following these steps:
- You can find the Xporter Management Console on your desktop or start menu
- Open the Xporter Management Console
- Click the Services tab from the left panel
- Locate Groupcall Xporter and check that it is currently running
Check SIMS Server Pre-Requisites
We highly recommend installing Groupcall Xporter on Demand on a server. Installing on a workstation can result in poor uptime of integrated services.

Leave Server On
Leave your SIMS server ON at all times. Arbor can only access your data when servers are online, so this is an essential step to ensure we migrate your data successfully and on time. If your SIMS server is turned off, then the migration will fail.
Availability During Holidays
Ensure someone is available via email over the holiday in your school. Ideally the Project Lead or IT Lead should be available to check their e-mail during the holidays to ensure they can pick up any important information about the migration status and success.
