This guide explains how to find and update staff data fields related to National Identity, Welsh Ability, and Ability to Teach or Work in Welsh in Arbor. These fields are mandatory components of the Workforce Characteristics module within your School Workforce Annual Census (SWAC) return.
Permissions
You'll need specific permissions to view and administer these data fields, which are located on a staff member's profile. To update the National Identity, you need the Staff Profile: All Staff: Basic HR Administration permission. To update Welsh Ability and Ability to Teach or Work in Welsh, you need the Staff Profile: User Details: Administer permission.
If you don't have the relevant permission, ask your admin team to give you permission using these instructions.
Updating National Identity
The National Identity field is collected as part of the Workforce Characteristics module in the SWAC. It is an essential field, and its absence or invalidity for a staff member will result in a validation error during census generation.
To update a staff member's National Identity:
- Go to School > All Staff > [Select Staff Member] to open their staff profile
- On the main page, navigate to the Identity section
- Click National Identity to open a slide-over
- Select the correct National Identity from the dropdown list.
- Click Save Changes
Managing Welsh Language Abilities
The Welsh language fields are collected as part of the Workforce Characteristics module.
To view a staff member's Welsh language abilities:
- Go to School > All Staff > [Select Staff Member] to open their staff profile.
- On the main page, navigate to the Language Abilities & Teaching section.
Welsh Ability
This field relates to a staff member's general proficiency in the Welsh language. To change this:
- Click Welsh Ability
- Select the staff member's proficiency under the Welsh Ability field. Options include Fluent, Intermediate, Basic, None, or Not Yet Assessed/Not Known.
- Click Save Changes.
Ability to Teach or Work in Welsh
This field records the staff member's specific ability to perform their professional duties in the Welsh language. To change this:
- Click Welsh Teaching/Working
- Select the staff member's ability from the options provided under the Ability to Teach or Work in Welsh field. Options include Welsh, English, or Bilingual.
- Click Save Changes.
