How to Use Spaces for Primary Schools

How to Access Spaces

Once your onboarding starts, you will receive an email inviting you to Spaces, and it will look like this:

 

 

You then need to create an account by adding a username and a password:

Disclaimer

The username may only contain spaces, letters and/or numbers.

The username needs to contain between 3 and 30 characters.

Terms & Conditions

Click to accept the terms & conditions.

 

Register

Once you click Register you will be logged in to Spaces and you will see your Dashboard that will look similar to this!

 

How to Invite Users to Spaces

Disclaimer

Only the Project Lead can invite users to Spaces. You can see who is listed as the Project Lead in the Key Contacts area of Spaces.

Invite a User

Log in to your Spaces dashboard and click on the person icon in the top right:

 

A slide over will appear, start typing in the staff member's name

 

 

Disclaimer

Users first need to be on the Training Hub before they can be added to Spaces. If you are not seeing a staff member, please contact the Digital Onboarding team at myonboarding@arbor-education.com. 

Once you have selected a user, you can then see the email that will be sent, which you can edit before sending (‘Entity name’ will populate with your school name once sent)

 

Invited users

In the invite area, you can also see who you have already invited and whether they have logged in to Spaces (accepted) or not (pending), and if access has been taken away (revoked): 

 

Resend activation

If you have already invited a staff member, but the staff member has misplaced the email, you can resend the invite by going to the invite area and clicking on the 3 dots:

You can also revoke access from a user by following the above if that person is no longer involved in the project.
 


How to Use Spaces

When you first log into Spaces, please watch the introduction video at the top left of your screen as this will introduce you to Spaces and help guide you through the various areas that you will be using over the course of your onboarding.

 

Your Space

When you log in to Spaces for the first time, it is recommended that you watch the welcome video and check out the linked sections, the Arbor Training Hub, the Help Centre, and Arbor HQ.

 

  1. This area shows you the name of your Digital Onboarding Specialist. There is a link to the digital onboarding team email address.
  2. This section has key dates to keep in mind, such as your Arbor Go-Live date and final migration date. (Please note primary schools will not have a dummy run date as pictured above).
  3. This section details what support you have with Arbor, such as Direct Support (supported by Arbor Support) or Partner Support (supported by one of our accredited partners).
  4. This section shows you which package you have bought for Arbor, you can find out more about what your package includes here.

 

Key Contacts

The key contact section includes the onboarding team email - please get in touch if you have any questions about your onboarding journey.

 

You will also be able to see your Partnership Manager email, and Customer Success Manager's details. After your onboarding has finished, your Customer Success Manager will be in touch to help with your long term success with Arbor.

 

You will also be able to see your School Project Lead here. This will be the person at your school responsible for following your onboarding journey and assigning out and completing onboarding tasks. If the displayed person is not the right Project Lead, please let us know as soon as possible.

 

Success Plans

This is where you will keep track of all your tasks during your onboarding and is the only place in Spaces where you are able to tick off your completed tasks. Please click into your Success Plan, then click the 'Actions' tab at the top to view all your tasks.

 

Click into a task for more information about what you will need to complete and links to help with this. Some tasks will also have subtasks, which you can view in the 'tasks' tab within the task.

If you scroll to the right of your tasks, you will be able to see the recommended start dates and due dates for these tasks.

 

The Project Task Progress and Tasks Overdue sections provide an immediate overview of your task status.

 

Clicking into either of these allows you to review your current progress and see which items are overdue.

 

 

Reports

This section provides an overview of various reports. These reports offer information such as which users have been added to the Training Hub, the training they have completed, and details about any additional training purchased.

 

Migration Status, Support Tickets, & Health Checks

Here you can track your migration status to ensure your team is always aware of the current stage. This section also provides visibility into all your active, open support tickets.

Migration status list:

Not ready to migrate - The school have not completed all setup steps ahead of their migration

Ready to migrate - School have completed all setup steps to allow migration to start

Data migration in progress - Migration has started

Error during migration - Migration has stopped due to an error

Migration done: awaiting QA sign off - Migration has finished but needs to be checked

Dummy site released - Dummy migration completed and released to the school

Final site released  - Final migration completed and released to the school
