This article outlines the process for schools migrating to Arbor using Groupcall Xporter on Demand, including logging into the Arbor Secure Portal, confirming terms and data checks, and authorising data sharing for a smooth migration. Schools receive access to the portal via email and must complete the necessary steps as soon as possible before the scheduled migration date.
Please note the following can vary for a GroupCall API migrator, we are working on adding the GroupCall Migrator specifications to this guide. If you need to raise any data discrepancies post migration please contact Arbor support or your dedicated partner and we will be advised of the next steps.
Receiving your Arbor Secure Portal
Each school moving to Arbor using the Groupcall migrator is given a unique Secure Portal which they can use to confirm they accept the Arbor Terms & Conditions, that they will have performed the necessary data checks we recommend in their current MIS, and are ready for their migration to begin on the agreed migration date.
Primaries: You will receive these details via email in Week 2 of your onboarding (17 days before your booked migration slot). If you have not received these, please reach out to myonboarding@arbor-education.com
Secondaries: You will receive these details via email on Week 2 of your Onboarding (10 days before your Dummy Migration) and Week 9 of your Onboarding (7 days before your final migration). If you have not received these, please reach out to your dedicated Onboarding Manager.
Logging into your Arbor Secure Portal
The school's Project Lead will receive access to the Secure Portal in two emails from Arbor (these can be forwarded to another appropriate staff member if needed):
- The first email will contain a link to access your school's unique Secure Upload Portal and a username that you should use to log into the portal
- The second email will contain the password to log in to the portal.
Confirm details in the Arbor Secure Portal
We would like you to action the below steps regarding your Arbor Portal and Groupcall Xporter as soon as you possibly can - preferably in Week 2 of your onboarding journey, when you receive your Arbor Secure Upload Portal details.
Doing this will schedule your migration so that it automatically kicks off on your migration date. To start, you'll need to log in to your Secure Portal and follow the instructions on the page. You will be asked to:
- Confirm that you accept our Terms and Conditions
- Agree to complete your data cleanses in your current MIS by your migration date
You should log into the portal and accept the above well before your scheduled migration date, and make sure you have also accepted the Groupcall terms and conditions (more information below).
Groupcall Xporter on Demand approval
You will also need to authorise data sharing and connect Xporter on Demand to allow Arbor and Groupcall to complete a data sync for the migration. Please make sure you complete this in Week 2 of your onboarding (and must be at least 48 hours before your migration date) to ensure a smooth start of the data migration.
You'll need to follow the instructions listed here to allow Arbor to sync data via Groupcall Xporter on Demand and complete your migration from SIMS to Arbor.
If you haven't used the Groupcall Xporter on Demand application before, you will be prompted to install XoD after you have accepted data sharing. Here are the instructions, but we recommend you book a guided install with Groupcall.
If you have used Groupcall Xporter on Demand before and already have this installed, you should check the connection by following these steps:
- You can find the Xporter Management Console on your desktop or start menu
- Open the Xporter Management Console
- Click the Services tab from the left panel
- Locate Groupcall Xporter and check that it is currently running
Note: Once you accept the Arbor T&Cs and provide Groupcall permission to complete the migration via the Groupcall Xporter on Demand portal, the migration will start at 4pm on your booked migration date.
