Can staff see their Meal invoices and Meals account top-ups?

In Arbor, staff can use the 'My Items' menu tool to see information that relates to them and their Arbor account. To view information about their Meals account, they should go to My Items > My Payments.

Please note: Staff are not able to see individual meal invoices for meals taken.

What information can staff see?

In My Payments, staff will see any account type that has been created for them under My Accounts e.g. Meals. From here, they can see their overall Meals account balance, and they can click in to top up their account. In this example, you can see that the balance is £0.00.

To top up their Meals account, they must click in and enter the details in the slide over, including the payment amount and an optional narrative, such as what they are topping up the account for.

Once they have entered their payment details, the amount will immediately show their new balance. Where the balance figure is green, it shows an account in credit. As meal invoices are raised, the overall balance will reduce, however staff are unable to see a record of all invoices raised.

How can schools provide a record of invoices and top-ups for staff?

If a member of staff has requested to see a record of Meals invoices raised, or a record of top-ups they have made, this can only be done by Arbor users with the following permission: Finance: Finance: View

Go to the staff member's profile and click into Payments on the left-hand side. From here, you can click into their Meals account, taking you to the Account Overview. This will show a breakdown of any Meals taken within the filtered date range.

You can select 'Download Statement' in the bottom-right corner to generate a pdf document that will include any 'withdrawals' i.e. invoices raised, and any 'deposits' i.e. prepaid top-ups.

Please note: You cannot bulk export statements for staff, this is only available for students.
