Arbor Workflows: Adding an Automatic Action

Automatic Actions let workflow steps trigger updates or reminders. Add an update by selecting when it occurs, choosing immediate or delayed timing, selecting the resulting action, entering required details, and saving it. Updates appear under the step’s “more” tab.

Automatic actions were normally known as updates.

As part of our powerful Automatic Action feature, you have the ability to enhance each step within your workflow by adding either an update or a reminder.

Unsure as to what we mean by Automatic Action? Check out our helpful article What is an Automatic Action? Each step can have it's own Automatic actions associated with that step. These will always take the form of an Update or Reminder but the conditions may slightly vary depending on the step type. For example, a decision can have updates related to the outcome of that decision.

To master the process of adding a reminder, head over to our Adding a Reminder page.

For advice on how to add a new update within an Automatic action, we have you covered with this article.

How can I add an Automatic action to a step in a workflow?

To get started, click into the workflow step you wish to add an Automatic action to.

From here select the  'Automatic actions' button.

This will open a slide-over where you'll determine the automatic action. From here, you can choose to add an Update or Reminder.

When you select Update you will be able to set the conditions related to that step. This will include the Delay, When, Then, Who should receive this email, the subject and the message. To make this easier to set up, we will always recommend the Delay, When and Then but these are editable.

To incorporate different updates, simply replicate the steps we've outlined, but select alternate options from the 'when' and 'then' boxes.

As you review your workflow, spotting where updates have been added to steps is easy—keep an eye out for a small blue circle in the upper right-hand corner of the 'more' tab. You can also click on the 'more' tab anytime you want to explore all the updates added to a step within the workflow.
