How to use the Secure Upload Portal to confirm your migration

This guidance is for Primary Schools and Special Schools going through our Primary Onboarding, migrating from Scholarpack or Integris. Secondary Schools should contact their Arbor Customer Onboarding Manager.

Each school that is moving to Arbor has a Secure Upload Portal (SUP), which should be used to securely send us the data from your current MIS on your agreed migration date. This FAQ document will give you some more information on how to access and use your SUP.

What is the Secure Upload Portal (SUP)

For Scholarpack and Integris schools, the SUP allows schools to securely approve Arbor's terms and conditions, giving us consent to migrate your data from your current MIS. Once these terms have been accepted, the migration to Arbor will begin after 6pm on the scheduled migration date.

Is accessing the Secure Upload Portal Safe?

Absolutely! Our secure upload portal has the same level of security as Arbor. This exceeds the industry standard and includes bank-grade encryption.

When will we receive access to our Secure Upload Portal?

The week before your migration, your school's Data Upload contact will receive two emails from Arbor containing the information you will need to access your SUP.

  • Email 1 will contain the link to your SUP along with the username you will need to use
  • Email 2 will contain the password to log in to your SUP

Who is the data uploader?

The Data Upload contact would have been nominated during the onboarding process - this person is usually the Project Lead.

If you have received the Secure Upload Portal details and are not the Data Uploader or if someone else who will be supporting you with the migration, please forward both emails onto the correct person.

The data uploader might be: 

  • The Project Lead
  • Someone else in your team (e.g. IT)
  • Your partner support (if you are partner supported)
  • Your MAT IT person (if you are apart of a Multi Academy Trust)

Logging in to the Secure Upload Portal

9 days before your booked migration slot, you will receive two emails from Arbor:

  1. The first email will contain a link to your school's unique secure portal and a username you will use to log into the portal.
  2. The second email will contain the password to log in to the portal.

Arbor will send these emails to your nominated Data Uploader.

You should expect to receive access to your Secure Portal during week 3 of your onboarding journey. If you have not received your email by then, please click Contact Us in the top right of the Help Centre and select Onboarding, migration and moving to Arbor.

Enter your details into the Secure Upload Portal

To start the migration you'll need to log in to your Secure Upload Portal and follow the instructions listed on the page. You will be asked to: 

  1. Tick that you accept our Terms and Conditions
  2. Tick that you have cleansed and checked your data

Note: If you log into the portal and accept the T&Cs on a date before your booked migration day, we will start producing your data backup at 6pm on the evening of your migration. 

When do we need to accept terms via the Secure Upload Portal?

You can do this as soon as you receive the Secure Upload Portal emails! Once approved, your migration will automatically start after 6pm on the scheduled migration date.

Top tip: Any data you input in your current MIS once the migration has started will not migrate across to your new Arbor MIS site. You may need to communicate to your wider school team that they should no longer use your current MIS after the migration day. We recommend schools use paper registers in the interim, and this data can be retrospectively entered into Arbor once you receive your site. 

What happens once we accept the terms?

Once you've accepted the terms via the Secure Portal and hit the green 'Start Migration to Arbor' button, sit back and relax! We will work directly with your current MIS provider to transfer your data on your booked migration date. Unless there is a problem, the next you will hear from us is when your new Arbor site is ready!

Once the migration process is complete, the onboarding team will send an email to the project lead with more information about the migration and how you can log into your new Arbor MIS for the first time! Will we still be able to access Scholarpack/Integris during the migration period?

Any schools moving to Arbor will retain access to Scholarpack or Integris until 31/12/25. This is useful for cross-referencing your data post-migration. 

It is important to note that any data entered into your current MIS after your migration will not migrate across to your new Arbor MIS site.
