This guide explains how to resolve issues where students are not appearing in the correct Nursery courses or where automatic enrolments and attendance patterns are not functioning as expected.
This guide is the first in a series of three. The guides in this series are:
- Nursery Troubleshooting 1: Enrolments and Attendance Patterns
- Nursery Troubleshooting 2: Timetables and Registers
- Nursery Troubleshooting 3: Course Structures and Funded Hours
Permissions
- You'll need the Student Profile: Enrolment: View All/My Students to check the enrolment section on student profiles
- You'll need the School: Academic Structure: View/Administer permission to see and amend your Nursery course structure
- You'll need the School: Academic Structure: Administer or School: Teaching: Administer to check or remove automatic enrolments
If you don't have the above permissions, you'll need to ask your admin team to give you permission using these instructions.
Problem: My Automatic Enrolments are not pulling through to my nursery courses
If you have set up automatic enrolments but students are not pulling through to the correct courses, please check the following.
Is the Student's enrolment accurate and correct?
To check this, follow these steps:
- Go to the Student’s profile
- Click Enrolment on the left-hand menu
- Check the student has been enrolled in a year group, registration form (and has an attendance pattern if you use those)
- Note that in the Courses section, students should show as being enrolled in the relevant course, e.g. Monday AM
Is the course structure set up correctly?
- Go to School > Programmes > Courses > Select your Nursery course
- You should then see a ‘+’ icon with each of the AM/PM modules sat within that
If your course structure is not correctly aligned, take a look at this article for help on how to correct that.
Has the student been assigned to the correct attendance pattern to be enrolled in the relevant courses?
If your automatic enrolments rely on an attendance pattern, you must ensure that the student has an attendance pattern set.
To check this, follow these steps:
- Go to the Student’s profile
- Click Enrolment on the left-hand menu
- Check that there is an Attendance Pattern set in the Enrolment section
- If this is missing, click +Add to add this information.
Does the automatic enrolment have the correct attendance pattern set?
If you are using attendance patterns, check that your automatic enrolments are aligned correctly.
- Go to the course/registration form that the automatic enrolment stems from - in most cases, this will be the Nursery registration form via Students > Enrolments > Pastoral > Registration forms
- In the Automatic Enrolments section, you should have all of the AM modules linked to “morning only” attendance patterns, all of the PM modules linked to “afternoon only” attendance patterns, and all of the modules should be linked to “all day” attendance patterns. Please see the screenshot below:
If there are missing, use the +Add button to add them in.
Problem: Why can't I change an enrolment for a student?
When you scroll down to the Enrolled Students section of a course, if a student has a chain icon next to their name, this means that their enrolment can't be changed from this course because of an automatic enrolment.
If you attempt to edit their enrolment, you will see a blue banner that says:
"Editing not possible
This enrolment cannot be edited directly because it exists due to an automatic enrolment from another group [COURSE NAME]. Changes should be made to the group that triggers the automatic enrolment."
The only way to change an automatic enrolment is to remove the automatic enrolment from its original course completely, for all students.
Please see how to delete an automatic enrolment here.
