Nursery Troubleshooting 2: Timetables and Registers

This guide provides solutions for duplicate registers, incorrect timetable slots, and more for Nursery lessons.

This guide is the second in a series of three. The guides in this series are:


Permissions

  • You'll need the Student Profile: Enrolment: View All/My Students to check the enrolment section on student profiles
  • You'll need the School: Academic Structure: View/Administer permission to see and amend your Nursery course structure and automatic enrolment
  • You'll need the School: Teaching: Administer to make changes to lesson times/timetable slots

If you don't have the above permissions, you'll need to ask your admin team to give you permission using these instructions.


Problem: My Timetable Slots are scheduled incorrectly, e.g. I can see a Wednesday AM register on a Monday

If there are timetable slots that have been scheduled incorrectly, you will need to first confirm that the Nursery course structure is broken down into both AM/PM. To amend the timetable slots linked to the different modules, please see the steps below:

1. Go to School > Programmes > Courses > Select the Nursery Course.

2. Click into a Nursery module.

3. Scroll down to the Classes & Lessons section

4. Select the relevant timetable slot, e.g. Monday 9.00 - 12.00, and amend this to match the date and time of when the module is due to start, e.g. if the module is for Monday AM, the only timetable slot entered into the module should be for Monday AM roll call sessions.

5. If an incorrect day or time has been set, you can click on that row, then Edit on the slide- over to end that time-table slot as of today's date so it no longer appears on future dates.


Problem: I have duplicate registers appearing on the Daily Attendance page

If you have duplicate nursery lessons, you may have scheduled Classes & Lessons for your Nursery course, as well as each specific module

  1. Go to the Students > Enrolment > Academic > Courses page.
  2. Click on the Nursery course (but don't click the + symbol).
  3. On the Nursery course overview, scroll down to the Classes & Lessons section and see the scheduled lesson slots. If you are using AM/PM modules, you should not have lessons scheduled here as well.
  4. To remove these duplicate lessons, click on the first slot (Monday 08:30-12:00) and then click the orange Edit button.
  5. A slideover will come up that says 'Change Timetable Slot'
    You can then add an end date to the timetable slot (I would recommend that this is ended as close to the present day as possible, for example, today or Friday).
  6. Click the green Save Changes button.
  7. Repeat this for all the incorrect timetable slots.
  8. Alternatively, you can do this in bulk via the School > Timetable > Timetable Administration > Timetable Slots page, by ticking the relevant lessons and using the Bulk action button to End Timetable slots. 

    We do not recommend deleting these slots entirely, in case any lesson attendance had been taken. 


Problem: Why are my Nursery students appearing on every register?

If students are appearing on all nursery registers, but they should only attend specific sessions, you will need to check that your nursery course is set up correctly under School > Programmes > Courses.

If you have students attending different sessions at different times, you cannot have all of the lessons merged together under one course.

Instead, you will need to create separate modules for Monday to Friday with AM and PM sessions (as pictured below) so that you can enrol students into specific modules.

Problem: I have set up Attendance Patterns, but they are not working.

Attendance patterns will only work if you have set up separate modules for Mon-Fri AM/PM and linked your automatic enrolments. You can see more details on this here: Enrol nursery into registers using regular Attendance Patterns
