Enrol nursery into registers manually without Attendance Patterns (Irregular Attendance)

This article explains how to enrol nursery students into registers using Arbor, detailing steps for both bulk enrolment and managing attendance patterns. It covers filtering students and courses, enrolling or removing students from registers, and updating enrolments if students’ attendance patterns change during the year.


Before you get started

When adding your nursery students to registers, you need to decide whether to use Attendance Patterns or to enrol manually. Please read our guidance here to decide before following the instructions below: What are Attendance Patterns?

Please note: this process is for enrolling your nursery students in registers during the year, such as after migration. If you wish to set up your nursery registers for next year, you'll need to follow these instructions

Permissions

  • School: Academic Structure: View/Administer - View and make changes to your course structure
  • School: Academic Structure: Administer or School: General Admin: Administer or Student Profile: Enrolment: Administer All Students - Enrol students via the Bulk Enrolment page

If you don't have the relevant permission, ask your admin team to give you permission using these instructions.


Enrolling students

You’ll need to add enrolments for your nursery students. Whenever you have a new student, you’ll need to repeat this process to enrol them. 

Check your course structure

In order to enrol students into specific sessions. Your Nursery course will need to be set up with individual modules for each Mon - Fri AM/PM session. If you head over to School > Programmes > Courses, your Nursery course should look like this:

The Bulk Enrolment screen

Next, go to Students > Enrolment > Academic > Courses > Bulk Enrolment.

By default, this page shows the lowest nursery year group at your school, but you can click into the filters at the top of the page to change this.

  • Use the Students who are... filter to narrow down the students to a particular year group. This ensures the table loads quickly if you have many students.

  • Use the Course year groups filter to narrow down the courses/registers in the table. If you select a year group here, we'll only show the registers linked to that year group, or that aren't linked to any year group (for when you have mixed year groups).

    In this example, you can see that because the E1 lessons are not linked to the N1 year group, they're no longer selectable.

You can also select to only show certain courses.

Enrolling students

To enrol students in their lesson registers:

  • Tick the boxes next to all the students who will be attending your school at the same time.
  • Click the Bulk action button
  • Select Bulk enrol students

  • In the slide over, choose the dates between which they should be enrolled in these registers.
  • Select the registers by selecting the course modules with the right days and session in their name (e.g, Nursery: Monday AM)
  • Choose whether to notify staff with the tickbox
  • Click Enrol students

The enrolments will be processed in the background. It can take some time to pull through to this page, and you may need to refresh the page to get them to show.

Repeat this step until all of the students are enrolled in the right registers.

Changing the registers in which students appear

Deleting an enrolment

If you've added an enrolment incorrectly, you can remove it (as long as you've not already started taking attendance for this register).

  • Tick the boxes next to all the students whom you've added incorrectly
  • Click the Bulk action button 
  • Select Bulk delete student enrolments.

  • In the slide over, choose which registers to remove the enrolment from.
  • Click Delete Enrolments
  • Confirm the deletion on the pop-up

The student will then no longer be enrolled in these registers.

Changing enrolments into registers

If a student is changing the sessions they attend, you can end their current enrolments and add new ones. 

  • Tick the boxes next to all the students for whom you want to change enrolments
  • Click the Bulk action button 
  • Select Bulk end student enrolments.

  • In the slide over, choose which registers to end the enrolment for and choose an End date

The students will then no longer be enrolled in those registers from the End date you select. You can check whether the students' enrolment has changed by using the date selector in the filters.
