Enrolling a single student

If you have students who have joined as in-year admissions, you'll need to enrol them into registers from their student profile. You can see how to do this below.

Permissions

To view a student's school enrollments on their profile, you need to access Student Profile: Enrolment: View All/My Students.

To manage a student's enrollments in the school, courses, forms and classes, you need School: General Admin: Administer, School: Academic Structure: Administer or Student Profile: Enrolment: Administer All/My Students.

If you don't have the required permissions, you'll need to ask your admin team to give you permission using these instructions.

Checking a student's enrolment

The easiest way to check a student's enrolment is from the Enrolment page on the left-hand side of their profile. 

On this page, you can view the student's enrolments, including their year group, registration form, and whether they are enrolled in single or dual registration.

Top Tip: Make sure you're looking at the right academic year using the drop-down box on the right-hand side of the page.

Enrolling a student in your school

To add a new enrolment: 

  • Go to the Student's Profile
  • Go to Enrolment on the left-hand side
  • Click +Add next to your school's name.

  • On the slide over, fill out the student's enrolment details. Including:

     

    • Entry date - the student's start date at the school

    • Academic Year - the academic year the student's enrolment starts in

    • Enrolment mode - the type of enrolment the student has (Single registration, Dual Registered, Guest etc.)

    • Year Group - the year group the student starts in (optional)

    • Registration Form - the form group the student starts in 

    • Attendance pattern - for early years students who attend either all day, or PM/AM only. More on attendance patterns can be found here.

    • House - the year group the student starts in (optional)

    • Notes (optional)

  • Click Enrol student to finalise your choices

For most students, this enrols them into AM and PM roll call registers too, but if the child is a nursery student, you may also need to ensure they appear in daily registers by either manually adding them to the right registration form sessions or giving them an attendance pattern from Enrolment > Year Groups > Nursery > Attendance Patterns.

Adding missing class enrolments

You'll want to ensure that none of your students have gaps in their timetable. You can see gaps by going to School > Timetable > Student Timetable > Timetable Gaps.

Click the student to review the gaps in their calendar on their Student Profile.

In the example above, I can see that at 11 am on census day (Thursday 16th January), there’s a gap in the student’s calendar.

To add them to the class, they should be in at that time:

  • Go to the Enrolment page on the left-hand side of their profile
  • In the Courses section, click +Add
  • On the slide over, select the right class(es) in the Courses dropdown
  • Choose the date they should have been enrolled in the class
  • Click Enrol in Courses & Classes

The student will now be enrolled in the missing course(s), and with that, in any of the courses registers.

Top Tip: You'll see the number of students already enrolled in the class on the date selected.

As a result, the student will then no longer have a gap in their calendar.
