To ensure your school’s implementation runs smoothly, we use Risk Plans to identify and mitigate potential risks before they impact your timeline.
What is a Risk Plan?
During your onboarding, your Customer Onboarding Manager (COM) monitors the health of the project. If they identify a factor that could delay or derail your progress, they will log it as a "Risk" and this will appear on your Spaces account under Success Plans:
Common examples include:
Lack of Training: Staff haven't completed enough Foundation training ahead of your Go-Live
Data Migration Issues: Setup has not been completed or data has not been received
Notification of Risk
When a risk is identified, the following happens:
Email Alert: Your school's designated Project Lead receives an email notification.
Risk Plan added to your Spaces account: This will appear under 'Success Plans'
Action Item: A specific task is created and assigned to the Project Lead within your Success Plan. Please login to review this.
Taking Action & Collaboration
The Risk Plan is designed to allow you and your Customer Onboarding Manager to collaborate on this risk and work together to mitigate it.
You can click into the Risk Plan to see notes on why the risk was raised:
Viewing Actions: You can click into Actions to view any specific tasks that have been assigned to help mitigate this risk:
Comment & Update: You can use the comment section to provide updates or ask for clarification:
Further Support: You may want to book a call with your Onboarding Manager to discuss this further. Remember the 'book a call' link can be found under 'Key Contacts':
Monitoring & Closing Risks
To keep the project on track:
Your Onboarding Manager will review all "Open" risks every week.
If a risk remains unaddressed by you and no comments have been left on Spaces, your Onboarding Manager will follow up with your Project Lead to ensure the project doesn't stall.
Frequent updates in the Spaces comment section reduce the need for extra "chase" emails and keep everyone aligned!
When sufficient action has been taken to mitigate the risk, the Risk Plan will be closed and removed from your Spaces account.
