Arbor's Smart Reports feature allows you to easily create and share data-rich reports from a template in a simple, editable interface.
By combining your live MIS data with AI-generated analysis, Smart Reports do the heavy lifting of data collation for you, producing comprehensive summaries ready for you to use immediately.

Permissions
- You need the School: General Admin: Export Data permission to generate Smart Reports
- You need permission to view all data areas included in the report. If you don't have access to the data in one of the areas of the report, then the report will not be visible to you, regardless of who generated it.
If you don't have the relevant permissions, ask your admin team to give you permission using these instructions.
Why use a Smart Report?
- Smart Reports are super quick. Stop manually pulling separate metrics from across the MIS. Smart Reports automatically combine live attendance, behaviour, staff, and demographic data into one place.
- Smart Reports make efficient use of your AI Allowance compared to individual Ask Arbor conversations
- Smart Reports don't just display numbers; they use AI to analyse the data, instantly providing written insights and spotting trends you might want to call out to stakeholders or inspectors.
Which Smart Reports are available?
Our first out-of-the-box Smart Report template (the Ofsted Inspection Companion) is already available to all Arbor schools. This library will be expanded in the future.
Where can I find Smart Reports?
Navigate to Reporting > Smart Reports > Manage Reports to see an overview of previously generated Smart reports.
On the Smart Reports Page, you can find:
- All of your existing reports on the 'Active' tab
- Any archived reports on the ‘Archived’ tab
- Create a new report
Click on a report to open it with the button on the slide-over.
You can Archive or Restore reports with the Bulk Action.
Creating a new report
To create a new Smart report, follow one of these routes:
- Use the green Create Smart Report button on the Reporting > Smart Reports > Manage Reports page
- Navigate to Reporting > Report Library, then click a Smart Report template, such as the Ofsted Inspection Companion. Recognise Smart Report Templates by the AI 'sparkle' icon
- Next, follow the on-screen instructions to complete your report setup and generate your report using the Create Report button.
Viewing and editing Smart Reports
Once generated, Smart Reports can be found on the Reporting > Smart Reports > Manage Reports page.
- Select a report and click Open Report to view it.
- Click on text elements to open a text editor and make changes.

Change the format of data from tables to bar or stacked-bar charts with the green button above tables or charts.
- Change the style and spacing of a table, or reset these to the default, using the Cog icon above tables.
- Use the More button above a page to move, add or remove pages.

Share or Download your report using the dedicated buttons at the top of the page.
- Add text boxes to blank pages using the green button in the middle of the pages
Can I share Smart Report?
Yes. Once generated, you can share the report with the buttons at the top of the report in three ways:
- Download it as a file (Download button)
- Email it directly from Arbor (Share button)
- Send it as an in-app notification (Share button)
Reports you share are sent to the users you select via email or notification as a link to a downloadable PDF file. When clicked, it will download the PDF to their device.
FAQs
Do Smart Reports come out of our AI Monthly Allowance?
Yes, Smart Reports use AI features that use a small portion of your Monthly (Free) AI Allowance each time you generate a report.
How much of our Monthly Free Allowance do Smart Reports use?
This varies per report and by the size of your school, but a report like the Ofsted Companion often already uses about the same as a short Ask Arbor conversation.
In addition to this, if you have recently generated a Smart Report of the same type, Arbor will remind you of this so you can consider reusing the previous report.
What happens if we run a Smart Report after our AI allowance runs out?
If you have run out of AI credits at the point at which you generate one of these reports, the report will run without the AI analysis. There are no hidden costs or overages.
