Setting up card payments in Arbor

What permissions do I need to set up Payments?
  • To complete any of the setup required to use card payments, you must have the Finance: Administer permission.
  • To be able to pay by card within the Arbor MIS as a staff member (apart from topping up your own account), you must have the Finance: Administer permission.
  • To be able to see all the information about card payments in Arbor, you must have the Finance: View permission.  
What information do I need to set up Payments?

Our bank account doesn’t accept BACS/direct debits payments, can we still use payments in Arbor?

You’ll need to use a bank account that accepts these types of payments to use Payments in Arbor.

Can I set up more than one bank account for payouts?

Yes, in the initial setup you can only add one, but you can add more later on from School > Payments > Set Up > Card Payments > Bank Accounts for Payouts. From here, select the +Add button and complete the fields then click Add Bank Account for Payouts.


How do we change back accounts for an account type?

First, check you've added the bank account you want to use in School > Payments > Set Up > Card Payments > Bank Accounts for Payouts.

Once you have checked the bank account has been added, get in touch with our support team to let us know the account type and bank account you'd like to change.

Are we able to set initial balances for our pupils?

Yes, you can set initial balances for all your pupils once - follow these instructions.



Adding new account types

What type of accounts can I enable for card payments?

You get 3 accounts as standard in Arbor - Clubs, Trips and Meals. These can all be enabled for card payments from School > Payments > Set Up > Customer Account Types.


Can I set up ad hoc accounts for payments such as Snacks?

Yes, you have the ability to create ad hoc accounts which you can then enable for card payments follow our guidance here.

  • Is it possible to set the lowest payment amount to £1 rather than the current £2?
    We have always charged £1 for school "tag days" and several of our parents have more than one child in school - so £2 per pupil is difficult for them.

    It means they either use BACS to pay, or just don't pay at all.



  • Hi Penny, the minimum amount for card payments we accept is £1 for Clubs and Trips or £2 for Meals and all other Customer Account Types. If guardians need to pay less this would need to be managed through Cash, Cheque or Bank Transfer.

    I'm afraid there is no way to adjust this amount as it has been set in agreement with our Card Payment Provider, Stripe. 

    However, please submit your feedback to us that this is something you'd like us to look at in the future:

  • Is it possible to set up a request for payment for something that isn't a club or trip? We ask parents to contribute to Year 6 Leavers Hoodies, and I have 6 different prices according to which option they prefer.
