Customer Account Types: Important Things Before You Begin

Before you create or edit an account type, please review these key system rules. Taking a moment to double-check your setup now helps avoid configuration issues that require manual intervention from our Support team later.

This guide is in a series; the guides in this series are:

Permissions

To set up Customer Account Types in Arbor, you need the following permissions:

  • Finance: Administer - This permission is required to complete any of the setup required to create Customer Account Types. It allows you to manage and configure the account types.
  • Finance: View - This permission allows you to see all the information about card payments in Arbor.

If you don't have the relevant permission, ask your admin team to give you permission using these instructions.

Can I delete a customer account type?

Removing any Customer Account Type requires you to contact Arbor Support. If any payments have already been made into an account, it is impossible to delete or remove it from your system.

For information on how to contact Arbor Support Team, see this article.

Can I add student or staff accounts after creating the account?

When creating an additional customer account type, ticking the Student or Staff box will automatically create a payment account for those individuals. However, if you leave a box unticked during setup and return to tick it later via the Edit screen, it will not retroactively create accounts for existing students or staff. It will only apply to new people joining the school moving forward. If you are unsure who needs an account, we strongly recommend ticking both boxes upon creation.

Can I change the verified bank account?

No. Once a bank account for card payment payouts has been verified by a second staff member, it cannot be changed or deleted by school users. Any post-verification changes must be handled by Arbor Support. Verification can only be done by a member of staff who has the Finance: Administer permission, and this can not be the person who requested the verification. For more information, see this article - Card Payments Setup - 9. Enabling Customer Account Types

Can I change the account type category after creating it?

No. When creating an additional customer account type, you will select one of the following categories:

  • Ad-hoc
  • Meals
  • School Shop.

Once selected, you cannot retroactively change an Ad Hoc account category into a School Shop category later, for example. If you need a School Shop type, it must be created as a brand-new account.
