Wraparound care clubs - Introduction (Breakfast and after-school clubs)

This is the first article in a series dedicated to setting up a Wraparound Care Club (such as a breakfast club or after-school club) in Arbor. Unlike standard clubs, Wraparound Care Clubs are designed to handle booking based on specific session intervals and allow for meals to be included. This guide covers what a Wraparound Care Club is, the required permissions, and how to navigate to the setup area.

Permissions

To set up and manage a Wraparound Care Club, you'll need the following permissions. If you don't have them, ask your admin team to assign them to your user profile:

  • School: Extra Curricular: Administer - Set up and manage clubs
  • School: Teaching: Administer - Add staff to a club session

If you don't have the permission, you'll need to ask your admin team to give you permission using these instructions.


How long will it take?

  • Switching from your old setup - 10 minutes
  • Creating the club and scheduling sessions - 15 minutes
  • Add accounting details and prices - 15 minutes
  • Add membership periods - 5 minutes

What is a Wraparound Care Club?

A Wraparound Care Club is a specific type of club in Arbor designed for out-of-school hours care (e.g., breakfast or after-school). You can't convert a standard club to a wraparound care club, so take the time to consider the below before deciding on the best club type for your needs.

With the Wraparound Care Club feature, you can:

  • Allow parents to book sessions and pay in advance through the Parent Portal and Parent App.
  • Manage different-length sessions with different prices.
  • Choose any top-up account type for payments to be deducted from, e.g. Meals or your Voucher account.
  • Choose whether parents need to pay for all sessions or just the ones their children actually attend.
     

Its key differences from a standard club are:

  • Wraparound care allows guardians to book based on specific intervals within the same session (e.g., 7:00-8:00 AM or 8:00-9:00 AM), which can have different prices, so you can charge students differently based on when and how long they attend.
  • Wraparound care can be paid for with Vouchers
  • Wraparound care clubs are paid through an account balance, meaning memberships do not have to be paid at the point of purchase
  • Wraparound care lets you choose a cut-off time for when parents can book the next session
  • Wraparound care includes an option to account for meals being provided during the session
  • Wraparound care lets you set different prices for different student groups
     

Important Note: Bookings per Day

Guardians can only book one session (or one session interval) for a Wraparound Care Club per day.

If you have a breakfast club and an after-school club, they must be set up as two separate Wraparound Care Clubs if you want parents to be able to make bookings for both on the same day themselves. Admins can manually add students to club sessions on the same day.


How to Navigate to the Clubs Area

To begin setting up a Wraparound Care Club:

  1. Go to School > Activities > Clubs.
  2. This brings you to the Clubs overview page.
  3. From here, you can view the clubs you have already created and create new clubs.

  • In our test site we have set up a Breakfast & After School Club, which runs over 5 days.  When testing a parent sign up it seems they have to sign up to at least once session each day?  What if a parent only wants to sign up 3 days for example how would this work?

  • Hi Ruth, you'll need to make sure you've set up a daily membership period. The guardian will then be able to select 3 days to sign up for.
