Wraparound Care Clubs - Adding the Club (Breakfast and after-school clubs)

This guide is the second step in the Wraparound Care setup series. It walks you through creating the Wraparound Care Club and entering the specific details required, such as the club's name, eligible students, and whether meals will be provided.

This is the second guide in our series on setting up a Wraparound Care Club:


Creating a Wraparound Care Club

  1. Go to School > Activities > Clubs.
  2. Click the green +Add button.
  3. Select Add Wraparound Care Club.

A slide-over will appear for you to enter details about the club you're creating.
 


Entering the Club's Details

You need to choose or enter the following information:

  • The club Name - This is visible on the Parent Portal/App and on the School > Activities > Clubs page, so choose a name that is clear, unique, and suitable for both admins and parents to easily identify.
  • A club Description (Optional) - Visible on the Parent Portal. Use this space to share club details, booking info, and important notes for all eligible students.
  • Pupils eligible for club memberships - Eligible pupils are the students who can potentially be signed up for the club. 
    • If a student is not eligible, neither parents nor admins can register them for the club. Click on the arrow for a drop-down list of choices, including custom groups for students attending next year. You can select multiple groups or individuals in one go
  • The Maximum number of participants - This limits how many students can sign up for a club; leave this blank if there is no maximum. Once the maximum is reached for a club session, no further students can be signed up for that session.
    • Note: This is the maximum number of students per club session. Once this limit is reached, guardians can no longer sign up, but Administrators can still add additional students.
  • Whether meals are provided during the club.
    • Top Tip: If meals are provided, you will also need to set up a Meal Type or new Meal Menu (for guardians to select the meal)
  • Click Add wraparound care club to confirm your choices and be taken to the club's overview page

The Club Overview 

After you add the basic details for the Wraparound club, you're taken to the club's Overview page. You can also get to the overview page by clicking on the club from the list on the School > Activities > Clubs page.

If you want to make any changes to the details you entered when creating the club, click anywhere in the Club Details section of the overview to open a slide-over and make your edits.

If you created the club by mistake, you can use the red Delete Club button on the right-hand side to do so as long as there are no payments or attendance records linked to the club yet. Find more on deleting wraparound care clubs here: How do I delete a club?

Adding a Club Lead

In the Staff section of the Overview page, you can add (a) Club Lead(s) with the green +Add button. This should be the person in charge of the club. If you do not assign a specific staff member to club sessions, the system will default to the club lead instead.

Once the details are entered, click the green Add club lead button.
