Do guardians receive confirmation emails for payments or meetings?

Parents and guardians only get automatically sent confirmation emails for certain things in Arbor.

Payments

An email is sent to the parent or guardian who made the top up to confirm when a payment has been made into a top-up type account: Payment accounts and topping up the meal account on the Parent Portal or Arbor App

Please note that they will not receive confirmation for booking/payment of these items:

  • Trips
  • Clubs
  • Wraparound Care
  • School Shop
  • Rotating Meal Menus

However, they can see bookings in these areas on the Parent Portal and App, and see payment history within the Payments > Invoices section.

Guardian consultations

Do guardians receive a notification that a slot is ready to book?

The guardian consultation will appear in the parent portal but guardians won't be notified.

If you wish to notify guardians through email, you can create a new mail merge email to remind guardians to log in to the parent portal.

Do guardians receive a confirmation email when a meeting is booked?

Confirmation emails are only sent out when a guardian books a meeting through the Parent Portal or Parent App. Guardians will not receive a confirmation email if the meeting is booked from the school's side.

The email is sent to the person who is attending the session, which may not necessarily be the person who made the booking. For example, if Guardian A books a meeting and sets Guardian B as the person attending, the email goes to B only.

Be sure to also check that you've added an email address for your school. You can add an email address from the School > School Details page. Just click +Add in the Contact Details section.

  • there is a school email address and parents have booked consultation via parent portal and booked the guardian who is attending and still not getting email confirmation
