Add students who have missed a detention to another

Students don't always show up to their assigned detentions. Arbor has ways to rearrange the detention dependent on if the student was absent due to not being in school, or failing to attend.

Permissions

To move the student's detention you will need the Student Profile: Detention: Administer all students permission.  If you don't have the permission, you'll need to ask your admin team to give you permission using these instructions.

 

Absent (not in school)

If you need to move a student from one detention session to another who was absent from school, go to Students > Behaviour > Detentions.

Click into the session you need to move the Student from, which will bring across a slide over. Click More information.

In the Attendance Mark column, click the one corresponding with the student and select Absent (not in school).

Then click Take action with absentees.

You can then reschedule their session by selecting the session from the drop-down and clicking Take action for absentees.

Absent (failed to attend)

If you need to reassign a student to detention who attended school but didn't show up to their detention go to Students > Behaviour > Detentions.

Click into the session you need to move the Student from, which will bring across a slide over. Click More information.

In the Attendance Mark column, click the one corresponding with the student and select Absent (failed to attend)

Then click Take action with absentees.

If you already have this behaviour type set up, you'll be able to select it to create a behaviour incident.

I can't find the right behaviour type

If you don't already have one set up, you can add a behaviour type called 'Failed to attend' or something similar. You will need to ensure this behaviour type is given a Severity, and that there is an incident workflow set up for the severity to enable you to assign students to another detention automatically.

To add the behaviour type, go to Students > Behaviour > Setup and go to the Types tab. Click +Add in the top right-hand corner.

A slide over will appear and you can add the details of the behaviour here, including the severity. You can also add staff members who may need to be notified either by name or by role, for example Form Tutor or Head of Year. Click the green Add Behaviour button to complete.

Next, go to Students > Behaviour > Setup. Select the Incidents tab. Then select the Automatic Incident Workflows section.

Select the severity you selected for the behaviour type you set up. You will be presented with the following workflow options. Click into Assign Automatic Detention.

Please note that any changes made will not only affect the new behaviour type but also any other behaviour types with the same severity.

Select which Time frame to use from the drop-down, then click Save. You'll then be able to use this behaviour type to assign students to the next available detention session.
