Add private or shared notes for Guardian Consultations

Guardians and staff can add notes to guardian consultation meetings. This can be done for both booked and not yet booked meetings. And can be a private note for the staff or can be shared with the guardian.

Permissions

You will need the School: Guardian Consultations: View permission. Teachers and Admin staff should have this permission by default, but if this needs assigning please follow this guide: Viewing a staff member's permissions and giving them an Ad-Hoc permission

 

Viewing and adding notes from within the Guardian consultations area

Adding a note to a Guardian Consultation meeting

Go to Students > Parents & Guardians > Guardian Consultations and select the consultation. You can then either click into All Meetings or click into a specific staff member to bring up their meetings.

Then, click on the meeting you want to add a note to, this can be a booked or an unbooked meeting. Then click into the Meeting name.

You will then be taken to the Meeting page. Here you can view the meeting details including the Notes.

You can add Notes by clicking the green Add note button at the bottom. You can also add more specific notes at the top, by clicking on Aims, Agenda or Outcomes.

When you click to Add note, you can select if this is a private note or if it is shared with the Guardian using the tick box.

Note: The meeting Aims, Agenda and Outcomes cannot be shared.

Viewing the notes

You can view the meeting notes by going to Students > Parents & Guardians > Guardian Consultations and select the consultation. You can then either click into All Meetings or click into a specific staff member to bring up their meetings. 

Then, click on the meeting you want to view the notes for and click into the Meeting name.

You can then view the Aims, Agenda, Outcomes, as well as the Private and shared notes.

Private notes will state they are PRIVATE.

Adding notes from staff calendars

If you are holding the meetings, you can go to My Items > My Calendar and click on the meeting in your Calendar to bring across a slide-over with a brief overview, including the notes.

Then you click to Add note, you can then select if this is a private note or if it is shared with the Guardian using the tick box.

You can go to My Items > My Calendar and click on the meeting in your Calendar to bring across a slide-over with a brief overview, including the notes. You can then click More information to go to the full meeting page.
