Query 4825Q

Query 4825Q appears if an unusually high value has been inputted on a staff member's profile - when a reported amount is £22,000 or more.

You'll see this query as the census asks for all additional payments earned since the previous census reference date. Such as teaching and learning responsibility (TLR) payments and special educational needs allowances. Salary is not included.

Arbor reports these from two places on the staff member's contract:

  • The Allowances section.
  • The Additional Payments section.

To check the reported amount:

1. Open the staff member's profile and select Contracts in the left-hand menu.
2. Review the Allowances and Additional Payments sections.
3. Check that each amount, and the dates it covers, are correct.

Tip: The census only reports the part of a payment earned between the two census reference dates. A yearly allowance is therefore reported as a share of the year, not as the full annual figure.

If an allowance looks too high

If the figure is much higher than the staff member receives over the census period, check the latest amount on the allowance itself. When the latest yearly amount has no end date, the census can report the full year's amount even though only part of that year falls inside the census period.

1. Go to School > All Staff > HR Admin > Allowances and open the allowance.
2. In FTE Amounts (Annual), select the latest amount (the one with no end date).
3. In the Edit Amount slide-over, enter an End date at the end of that academic year, for example 31 Aug 2027 for an amount starting 1 Sep 2026, then select Save Changes.
4. Regenerate the census.

Warning: An allowance is shared by every member of staff linked to it, so the change applies to all of them. Add the next year's amount before the end date passes, otherwise the allowance will calculate as nil from that date.

Tip: Leave the end date blank on the staff member's own allowance. Changing it does not affect the figure.
