This article covers how to add or change a student's meal choice from an Admin's perspective, as this can sometimes differ from the Teacher's perspective.
Permissions
- Student Profile:Meals:View All Students
- Student Profile:Meals:Administer All Students
If you don't have permission, you'll need to ask an administrator to give you permission following these instructions.
From the Class Register
On the day of the meal, admins can edit the meal choices directly from the class register, after the teacher has already taken it, using the steps below. You cannot do this before or after the day of the meal.
- On the day of the meal, head to Students > Attendance > Registers > Daily Attendance
- Select the relevant class, and then Lesson Overview in the slide-over
- Select Meal Choices on the left-hand side of the page
- Ensure you're on the correct Meal Sitting, and then change the student's Provision from the drop-down menu
Top Tips
- This can also be done in bulk by ticking the boxes next to the students' names, selecting Bulk Action, and then choosing the correct meal provision option
- If you're missing any columns, double-check the Hide Columns button next to the Bulk Action. Sometimes columns can be hidden from view; these just need to be unticked so the columns appear in the table to be selected.
From the Meal Register
Alternatively, admins can change a student's meal choice on the Meal Register, rather than clicking into each class. This can only be done on the day the meal is being taken, not before or after.
- Head to School > Meals, where you'll be taken to the Daily Summary page
- Ensure you're on the correct Meal Sitting using the tabs at the top of the table
- Select the green View Register button in the bottom right-hand corner
- On the Students tab, select the tick boxes next to the name of the student(s) whose choice you wish to edit
- Select Bulk Action, and then the correct provision
Top Tip
If you have multiple students you need to edit, who have different choices, we recommend doing the Bulk Actions in batches. I.e: tick all the names of 'Meal Option A' first, and bulk change them, then do 'Meal Option B', etc.
From the Student's Profile
If there is only one student you need to update the meal choice for, this can be done directly from their profile:
- Search for the student's name in the Global Search Bar (top right of your Arbor MIS), and select it
- On the student's profile, select Meals from the left-hand side
- Select the Historical Attendance tab
- Select the date you need to edit
- In the slide-over, select the orange Edit button
- In the Meal Provision drop-down, select the correct provision option
- Select the green Save button

What if we're using Meal Menus?
If you're using Meal Menus and you, as an Admin, need to change a student's meal choice, there are two options to do this:
- Wait until the day of the meal - choices made by the parents in advance cannot be changed on the Arbor MIS by Admin until the day of the meal, so you'll need to wait for the meal register to open before making the change.
- Log in as the Parent/Guardian - alternatively, if the parent is unable to change the meal option on the Parent Portal/App themselves, you can log in as the parent and make the change yourself. You can find the steps to log in as a guardian in our article: Log in as a Guardian to the Parent Portal
