You can log in to Arbor's Parent Portal as if you were a particular guardian to see what they will be able to see, check your school’s setup or troubleshoot issues.
Please note: It isn't possible to log into the Parent App in this way. The Parent App has all the same settings as the Parent Portal, so almost everything you can see and do on the Parent Portal, you would also be able to see and do on the Parent App.
There are two scenarios we find this functionality is particularly useful for (detailed below):
- Checking the Parent Portal looks as you want it to before releasing it to all parents
- Logging in to see what a guardian sees so you can help resolve any issues they're having
How can someone log in as a guardian?
Go to the parent’s profile. Click the user User Details field.
Click the Log in as User button in the slide over.
Staff other than the Headteacher can't log in from the User Details slide over.
Instead, your school needs to manage who has this ability by assigning the Log in as guardian permission. Nobody has this new permission by default, so it’ll need to be added to your profile by someone with the Permissions: Administer permission (or you can add it to your own profile if you have this permission). You can see how to do this here.
Once you’ve been given the permission, go to the parent’s profile. Click the grey button on the right-hand side.
What can I do once I click the login button?
There are two scenarios we find this functionality is particularly useful for, but it's always a good idea to ask the guardian for permission to log in as them first.
Before releasing the Parent Portal to all parents, why not test it out to make sure everything has been set up correctly? You can ask a member of staff who is also a parent or a keen guardian if you can log into their account to see what it looks like.
When this is the first time the account has been logged into, or the first time this child is being viewed, the date of birth must be verified.
If you're logging into a staff member's guardian account, with their permission you can pop in the date of birth and continue.
You can then take a look at the Parent Portal. Remember that you can see and edit everything the guardian would be able to.
When this is the first time the account has been logged into or the first time this child is being viewed, the date of birth must be verified.
If you see this pop-up when trying to resolve guardian login issues, this means the guardian has not yet properly completed the logging in process.
- Click Cancel and log out of the guardian account
- Send them a password reset or get them to click the 'reset password' link on the login page
- Advise them to use a desktop or laptop browser to reset their password and try logging in from
- Get them to input the date of birth of their child correctly
If the authorisation fails (even though the date of birth is correct), or when you log in the page is blank or you can't see the right student, this means the guardian hasn't been linked to the student. You'll need to follow the instructions in this article to link them.
If you can log in, remember that you can see and edit everything a parent would be able to. If you have your settings on to not auto-accept changes, these changes will show as being requested by the guardian, not you as a staff member so it may be best not to make any edits while logged in.
