You can add and manage your invigilators in Arbor, including printing timetables for them.
How to add your invigilators
Check you've already your invigilators as staff members by using the search box or the School > Staff > Browse staff page.
If you've not added them already, add them as a staff member. Please remember to:
- exclude them from the workforce census.
- not tick the box to send a welcome email, as these people do not need to have access to your school MIS
You can then follow the same process as for your current staff acting as exam officers.
How to assign invigilators to exams
Go to Students > Examinations > Scheduling > Assign invigilators.
An invigilation session is a continuous time when exams are occurring e.g. 9-12 pm, on a specific day and in one specific room. An invigilation session may have different exams in it (e.g. a Maths exam from 9 am to 10.30 am and an English exam from 9.30 am to 11 am in the same venue).
Click on the invigilation session to view details about it, and to add invigilators to the session.
Click +Add to add an invigilator.
Printing invigilator timetables
In Scheduling > Invigilator Timetables, you can download Invigilator timetables.
The PDFs will then download to your computer. They will be generated together in one PDF - generate them one at a time if you need separate PDFs.

How do I remove an invigilator from an exam?
To remove an invigilator from an exam, follow these steps:
- Go to Students > Examinations > Scheduling > Assign Invigilators and select the exam.
- Click on the invigilator, then click Edit in the pop-up window.
- Click the Delete button at the bottom-left of the pop-up window.
Can we add multiple roles for exam invigilators?
It is only possible to assign one additional role to an invigilator for an invigilator session (scribe, reading, or prompter).
It is not possible to add multiple roles, and it is also not possible to add more roles.
You will need to assign the role that most closely matches the invigilator's main duties.
Do invigilators get notified when they are assigned to exams?
Invigilators are not automatically notified that they have been assigned to an exam or sitting.
They cannot accept or decline the request through Arbor.
You may wish to send communications such as emails to your invigilators if they have a staff profile in Arbor to let them know that they will be able to see the exam in:
their calendar: My Calendar
in printed timetables you give them: Timetable of certain events.
