Schools can control staff name display on calendars and timetables for the Parent Portal, Student Portal, and Student App independently. Options include showing live staff (real-time cover), assigned staff only, or hiding staff names entirely. Settings apply to calendar tooltips, session overviews, printable timetables, and app calendars. Admin permission is required to change these settings.
Permissions
- School: General Admin: Administer - Lets you view and change Parent Portal, Student Portal and Student App 'Staff display modes' for calendars and timetables.
If you don't have the relevant permission, ask your admin team to give you permission using these instructions.
Where to make the changes
There are three independent settings: one for the Parent Portal and App (this setting applies to both the Portal and App), one for the Student Portal, and one for the Student App. Changing the setting for one does not change the setting for the others.
This means you can set different settings for Students and Guardians.

What are the options we can choose?
You can choose between:
- Live staff - Cover arrangements show in real time (this is what happens at the moment and will be the default option)
- Assigned staff - Shows the timetabled teacher only. If there's cover staff associated, it will still show the timetabled teacher. This falls back to the academic unit lead when relevant.
- No staff - Staff names are hidden entirely.
