What is the student profile?
The Student Profile contains most of the information recorded about a student, including personal and contact information, enrolments and timetables, behaviour and educational needs, progress, and examinations. It includes important and general information as well as quick access to emergency contacts.
The sections you see in a Student Profile are based on the Business Role and Permissions of the person viewing the profile. Therefore, an Admin staff member will see more sections than someone logged in as a Teacher.
At the top of the Student Profile, you see the student's:
- Name
- Form group
- Year group
- Date of Birth
- Emergency contact – 1st priority emergency contact – the person who will be contacted by the school in the event of an emergency
- Badges flagging additional student context. For example, Pupil Premium, SEN (Special Educational Needs), EAL (English as an additional language) etc.
Any Pinned items are listed below. You can see a complete list of what can be pinned here: Items you can pin on the student profile for Safeguarding and Alerts
Clicking on a pinned item opens a slide-over with additional information and the ability to edit the note.
Navigating a student profile
Filtering and navigating the main page
Scroll down the page to move between sections. For faster navigation and the option to jump to a specific section on the main page, filter the Student profile by clicking the View drop-down and selecting a section from the list.
Using the left-hand menu
To navigate to pages outside the main profile page, like Attendance and Enrolment, use the left-hand menu. The remaining guides in this series take you through the functionality of those pages.
The right-hand side of the student profile
The student's Emergency contacts are displayed and highlighted on the right side of the main profile page.
If the student's Emergency contact's number is missing, you are prompted to update the student's contact details with a 'Number missing' message.
Just below that, you'll see a Calendar for the student. Click an event to jump to the particular event's overview, or click the word 'Calendar' to view the student's upcoming events by week or month.
Further down, under Today's Attendance, you can view the student's attendance for any lesson registers that have a mark today.
A variety of documents can be downloaded by clicking the Download / Print… button and selecting an appropriate option. Options include:
- Printable Student Profile
- Data Collection Sheet
- Printable Timetable
- Attendance Certificate
- Communication Log
You can record a planned absence for the student by clicking the Record Planned Absence button on the right.
The Communications/Notes button allows you to access a menu that enables you to quickly send communications to the guardian or student, as well as log notes.
This concludes our introduction to the student profile. The following guide in this series is: Student Profile - Main Page
