Student Profile - Attendance

On a student profile, you can access various pages focused on the student's attendance record and statistics by navigating to the left-hand menu. These pages allow you to analyse and manage a student's attendance without having to navigate to class registers or the Attendance Statistics page. This guide walks you through each of these pages and their respective functionalities.

Permissions

To view a student profile's Attendance pages, you need Student Profile: Attendance: View All/My Students.

To make changes to attendance marks, you need Student Profile: Attendance: Administer All/My Students or Student Profile: Admin: Administer All/My Students.

If you don't have the permission, you'll need to ask your admin team to give you permission using these instructions.

Navigating to the attendance pages

Get to the attendance pages discussed in this guide from any page of the student profile by clicking Attendance in the left menu to expand the menu. Then, select the specific page you need from the expanded list under the Attendance heading.

Dashboard

The Dashboard displays KPIs with statistics on a student's current academic year's present, unauthorised, and authorised absences percentages, along with a comparison percentage to last year. These KPIs cannot be modified.

You can record a Planned Absence from here using the orange Record Planned Absence button, and you can use the Attendance Certificate button on this page to download an Attendance Certificate for the student.

Statistics

The statistics page features several tabs that display the student's attendance in various formats. Use the Attendance for dropdown in the top-right corner to switch between academic years or to narrow down to the past week, month or term.

The default table (Headline Measures tab) displays key attendance measures, including Present, Late and Absent percentages for both Lesson attendance.

The Over Time tab displays a chart highlighting the student's attendance over time.

The table below the graph breaks down the students' lesson attendance percentage by school week, with each row representing a different week, and the Lesson % column showing the percentage of marks within that week that count as present.

The Mark Breakdown tab provides a breakdown of all the attendance marks recorded for the student. This includes the number of times the mark was used (sessions) and the percentage of the total marks received by the student that the mark represents. The table breaks every mark down by both Statutory/Roll Call Attendance and Lesson Attendance.

The Group Comparison tab allows you to compare a particular student's Present Attendance % by Lesson with the average Present Attendance % by Lesson of different student groups they are a part of. For example, if a student is in Year 5, you see a blue bar for Year 5 (as the student is in that year group) underneath the green bar representing the student.

Attendance Certificate

View or print a report of students' attendance on the Attendance Certificate page. More details are found here: Print Attendance Certificates for groups or individual students

To download an attendance certificate on this page: 

  • Adjust the Academic year as needed
  • Set Start and End dates (leave blank to default to the academic year's start and end dates)
  • Customise whether to show Student/Guardian details, change the Format and select whether to show Notes using the checkboxes.
  • Click the green Download Attendance Certificate button to download the certificate as a PDF file

Audit History

On this page, you can view a report of who set or changed each attendance mark on a student's record (Changed by) and when that change occurred (Changed on). Find more on how this page works here: Check who changed student attendance marks using the audit log

Click on a mark to see more details on a slide-over, and click Edit on the slide-over to make changes to the record.

Marks (By date)

The tabs

The student's attendance marks for the academic year so far are listed in full on the "Marks (By date)" page. Use the Attendance for dropdown to switch between academic years. 

To view more information about an attendance mark and the related event, click on the mark to open a slide-over with additional details.

The Lesson by Lesson tab displays the attendance mark a student received on a per-calendar-event basis.

If you have Timetable Periods set up, each column represents a period (rather than a standalone event between a given time). If multiple events occur during the same Period, they are both shown within the same cell. If an event spans multiple periods, it shows in both period columns.

Arbor shows marks for all sessions, not just lessons, that a student is set to attend on the Attendance > Marks by Date page on their profile. This will help you quickly identify where to find a student and let you see when a student is missing a lesson due to an intervention or internal exclusion, rather than absence.

The Statutory/Roll Call tab allows you to see an overview of the morning and afternoon marks that count as statutory. This is the attendance you submit to the DfE in reporting. This attendance is derived from your lesson attendance; you can find more information here

Click on an attendance mark to see further information, and click on Derived from lesson to go to the lesson page for the event the mark is drawn from.
 

If a student has been removed from an event and their attendance for that event was not removed first, it will still appear in the Redundant Marks tab. 

You only see this tab if such orphaned attendance exists for the student. More on this tab can be found here: Remove extra redundant attendance marks after removing students from a class or your school

Editing attendance from Marks (by date)

On the Lesson-by-lesson tab, update attendance marks in bulk with these steps:

  • Tick the boxes next to the days you want to amend
  • Click the green Bulk action button and choose one of these options:
     
    • Bulk Set Present
    • Bulk Set Absent
    • Bulk Set Late
  • On the slide-over, if a Mark dropdown shows, select the mark you wish to bulk set
  • Use the Update Roll Calls tickboxes to update all morning and/or afternoon roll calls for the student with the mark you chose
  • Use the Update Periods tickboxes to select specific sessions you want to update
  • Use the Overwrite all marks? dropdown to choose whether only to update missing marks, or to overwrite existing marks too.
  • Leave any Attendance Notes in the notes section
  • Use the green Bulk Set Marks button to confirm your changes

To update a single mark on the Lesson by Lesson tab:

  • Click the mark you want to change
  • On the slide-over, click the Mark in the Lesson section
  • Update the Mark, Minutes Late or Note as needed
  • Click Save Changes

To update a mark from the Statutory/Roll Call tab:

  • Click the record you want to change
  • Click Edit on the slide over
  • Update the Mark, Minutes Late or Note as needed
  • Click Save Changes

Please note: As Statutory Attendance is derived from lesson attendance, changing a mark from Statutory/Roll Call changes the mark on the (lesson) register the mark is derived from too!

Planned absences & Notes

The Planned Absences & Notes page displays all planned absences on the child's record. Each tab at the top is a different year; switch between academic years by clicking the tabs.

You can click on a planned absence record to review it in detail on the slide over, including adding attachments to support a planned absence (for example, hospital letters) or otherwise altering the information using the Edit button. To delete a planned absence, click the red Delete button after selecting Edit.

You can record a new planned absence with these steps:

  • Click the +Add button
  • Enter the absence details on the slide-over
  • Click Record Planned Absence to finalise

Follow-Up History

You can review all attendance register follow-up messages linked to a particular student from the Follow-Up History page on their profile.

This page lists all registers that have a follow-up message associated with them (like the table shown below). This table is available for download in various formats by clicking the "Download" drop-down menu.

Previous schools

On the Previous Schools page, you see a student's past institution attendance information if this has been imported from a previous MIS or via CTF. As this data is for reference only, it is not editable and does not contribute towards attendance calculations.
