Access Arrangements FAQ

Why can I not give students an Access Arrangement?

You can only add access arrangements for students that have already been logged as internal or external examination candidates.

  1. Please follow these instructions to add students as exam candidates.
  2. When you've done this you will be able to add access arrangements.

Can we edit or add a new custom Access Arrangement?

No, it isn't possible to edit the access arrangement types in Arbor, or to add new ones. You can only select the access arrangement types approved by the JQC.

You can add a note into the Reason field, which you can then see if you hover over the access arrangement on the Students > Examinations > Candidates > Access Arrangements page.

This can also be viewed on exam registers if you enable this in your Centre setup.

Can we add Access Arrangements for only certain exams or subjects?

Rather than setting access arrangements for specific subjects, you can choose whether an access arrangement the student is given applies or not for each exam. For example, you can set that they need a scribe for their English exams only.

Please note that this feature can only be used with external exams, not In-house exams. In-house access arrangements apply to all In-house exams.

Once you have added an access arrangement, follow these steps:

  1. Go to Students > Examinations > Scheduling > Allocate Exam Rooms and select the exam.
  2. Click on the access arrangement field for the student.
  3. In the pop-up window, you can choose to set this access arrangement to not apply to this exam.

The access arrangement and extra time percentage will no longer show for this exam, including in printouts for the selected exam. The access arrangement will still show for other exams and printouts.

Do I need to add Access Arrangements each time?

No, you don't need to add access arrangements for each exam. Once set, they are set universally.

You also don't need to add them each year. Access arrangements stay on the student's profile for as long as it is current, based on the start and end dates chosen when adding the access arrangement.

How are standard and in-house exam access arrangements linked?

There is a relationship between standard and in-house exam access arrangements:

  • Access arrangements set for standard examinations will also create access arrangements for students for in-house exams.
  • Access arrangements set for in-house examinations will not automatically update access arrangements for standard exams.

If you need to add an access arrangement for a student for both, we recommend adding it from the standard access arrangements area.

Once you've added access arrangements, changes made to an Extra Time allocation for standard exams will also apply to the student's in-house exam access arrangement. However, no other changes will feed through, so you'd also need to update the student's in-house exam access arrangement.
