Managing old reports in Custom Report Writer has become a challenge, especially for power users who have accumulated a large number of unused reports but don’t have the time to sort through them. We want to make it easier for users to clean up outdated reports by providing them with the right contextual information.
New columns in Custom Report Writer table
- Created Date – Shows when the report was first created.
- Modified Date – Shows when the report was last changed.
- Accessed Date – Shows the last time a report was opened (this will only track from March 1st onwards).
With these new columns, you can now sort and filter reports more easily, making it simpler to find, manage, and remove the reports you need.
Archiving and deleting reports
Previously, reports could only be deleted, making it difficult to keep track of old reports. Now, you can archive reports before deleting them.
How to archive a report
- Go to Custom Report Writer.
- Select the reports you want to archive.
- Click on Bulk Actions and choose Archive.
Once archived, a report remains available but is moved out of the active list. Archiving a report will not automatically disable any scheduled or shared reports. To stop these from running, you’ll need to manually disable or permanently delete them.
How to restore or permanently delete a report
- To restore an archived report, go to the Archived tab and click Unarchive.
- To permanently delete a report, go to the Archived tab and select Delete.
⚠️ Note: You can only delete a report once it is archived. Reports cannot be deleted from the active state.
Creating a new report
Creating a report is now more intuitive with a new slideover panel, instead of opening a new page.
How to create a report
- Click Create New Report in the Custom Report Writer.
- Choose one of the following options:
- Create a New Report
- Create Report from Template
- Create a Report with Free Text Using AI
- Import
New report creation features
- There is now a dropdown to select the report focus (default: Students).
- You can now skip the Setup Wizard – perfect for power users who want to bypass unnecessary steps.
Superusers and permissions
Some users, such as Head Teachers, have super user access, allowing them to see all reports in the system. If you are a super user, you will see additional tabs:
- Superuser Active – All active reports.
- Superuser Archived – All archived reports.
- Superuser Expired – Reports that are no longer in use.
Regular users will only see reports they have access to, ensuring the right level of visibility for each role.
UI changes: Deleting reports
Since reports can now only be deleted from the Archived state, the DELETE button has been removed from the active reports view.
