This integration allows you to pull Smartgrade assessment data into your Arbor MAT MIS and push it down to your schools.
Important: This integration is currently only available for MATs using the Group MIS. Standalone schools should submit a Product Idea if they wish to see this feature added.
Data Types Imported
The integration pulls the following student data points:
Calculated grades including Smartgrade 1, 2, and 3, with Aliases
Global Smartgrade 1, 2, and 3
Raw Score and Raw Percentage
Standardised and Global Standardised Scores
Percentile and Global Percentile Rank
Note: Question-level data is not supported. All percentages are stored to two decimal places in Arbor.
Prerequisites
Before starting, ensure you have:
API Credentials: A Client ID and Refresh Token from Smartgrade.
Tier Access: This feature is only available on the MAT MIS Plus package and upwards. Please contact the CSM team to discuss your package if needed.
Permissions
To be able to manage this integration you'll need to have the Group: Assessments Administer: All Schools permission on the Group MIS.
If you don't have the permission, you'll need to ask your admin team to give you permission using these instructions.
Set up the integration
In order to setup this integration you will need a client id and refresh token from Smartgrade. Please see this guide which explains how you can get these.
Navigate to Administration > Assessment > Assessment Integrations.
Select Smartgrade.
Click the API Connection details row.
Enter your Client ID and Refresh Token.
Refresh tokens expire every 365 days.
Before you can pull results, Arbor needs to understand your Smartgrade framework. This is called a metadata sync. On the Smartgrade integration page, click Perform Metadata Sync. Arbor will now pull your Assessment Families, Subjects, Year Groups, and Windows.
Wait for completion: If you have a large volume of data, this can take a few hours. You will receive a notification in Arbor once it is finished.
Querying Smartgrade API
The integration does not sync automatically; you must manually trigger a query when new results are ready.
- Go to Administration > Assessment > Assessment Integrations
- Click Smartgrade

Click the Add button in the slideover
- You will need to select the right metadata for your assessment
- Click Get Data
This will now query the Smartgrade API for the selected school(s) data. You will be notified when this done and asked to review the data before importing to your school sites.
Viewing the Smartgrade data
We don't have any premade dashboard KPIs for Smartgrade data. The data will be visible in the Attainment section of the student profile and the Custom Report Writer. We'd recommend using the bulk add third party assessment data feature if you are building a custom report.
Troubleshooting & FAQs
Where do I see the data?
Data is visible on the Student Profile (Attainment section) or via the Custom Report Writer. There are no pre-made dashboard KPIs for this integration.
Why is my data rounded?
Arbor stores percentages to 2 decimal places. If Smartgrade shows a whole number (e.g., 85%), it may appear in Arbor as 85.00%.
Why is the date set to 1st September?
All imported Smartgrade data is timestamped as the 1st September of the selected academic year.
I cannot see the correct assessments in the list.
This is usually caused by outdated metadata. Please redo the Metadata Sync (Step 2). If the issue persists, contact Smartgrade support at help@smartgrade.co.uk, as Arbor cannot view your private API credentials to troubleshoot Smartgrade-side errors.
What happens if I push data twice?
Pushing data again will overwrite existing records for those assessments. It will not create duplicates.
