This article explains the migration process for dietary requirements, medical conditions, medical events, and medical notes from a previous MIS to Arbor. It highlights that due to varying lists from different MIS suppliers, these entries may be categorised as 'Other' and provides guidance on how to edit and update these records in Arbor.
Dietary Requirements, Medical Conditions, Medical Events and Medical Notes will have been imported from your previous MIS. Because of the flexibility of these fields, however, you may want to check how they have been migrated.
Please note the following can vary for a GroupCall API migrator, we are working on adding the GroupCall Migrator specifications to this guide. If you need to raise any data discrepancies post migration please contact Arbor support or your dedicated partner and we will be advised of the next steps.
Dietary Requirements
Because different MIS suppliers are free to dictate their own lists of dietary requirements schools can record, we're not able to automatically map them when we migrate your data.
As such, any dietary requirements will be migrated with the type of Other, with information about the dietary requirements in the Note field.
- For staff, you can view and edit their dietary requirements from the Meals section of staff profiles.
- For students, you can view and edit their dietary requirements from the Meals section of student profiles, or check all dietary requirements from School > Meals > Dietary Requirements.
Click into the dietary requirement to edit it and change it from Other to the most suitable option. You can then delete or edit the additional note. You can see a full list here: Arbor's list of available Dietary Requirements
Top Tip: There's no need to scroll all the way down the list to find the right Arbor Dietary Requirement! Just search for a keyword and select the closest match.
Top Tip: When migrating from SIMS, there may be a code in front of the note. This is the dietary need code - you can remove this if needed.
Medical
Medical Conditions, Medical Events and Medical Notes will have been imported from your previous MIS in these formats:
- Medical conditions will be migrated as Medical conditions.
- Medical events will be migrated as Medical conditions.
- For SIMS, Medical notes will be migrated as Medical notes. You can see how to update notes here: Medical Notes
- For ScholarPack, Accidents and First Aid migrates to Medical Events in Arbor. The notes become the event description.
- For other MIS providers, Medical notes will be migrated as Medical conditions - if there is no start date, we'll set the start date for the medical condition as the date the note was created.
Can we change the Medical conditions back?
It is not possible to change medical details migrated as conditions, back into events or notes.
Why have the Medical conditions migrated with the Medical Condition of Other?

As such, any medical conditions will be migrated with the type of Other, with information about the medical condition in the Summary field.
- For staff, you can view and edit their medical conditions from the Medical section on staff profiles.
- For students, you can view and edit their medical conditions from the Medical section on student profiles, or check all medical conditions from Students > Medical.
Click into the medical condition to edit it and change it from Other to the most suitable option. You can then delete or edit the additional summary.
