This article provides a step-by-step guide on how to set up in-house exam candidates, including necessary permissions, adding students, assigning candidate numbers, and clarifying the need for external exam candidate registration.
Permissions
You'll need the Qualifications: Administer All Students permission to set up candidates. If you don't have permissions, ask your administration team to give you permission using these instructions.
Before adding students as candidates
A student needs to have an enrolment into your school to be able to add them as an in-house exam candidate.
This means that you cannot add External Candidates to in-house exams.

Adding students as In-house candidates
Go to Students > In-house Exams > Candidates > Candidates.
Step 1 - Add the students
Click +Add and select the students to add, then click Register Candidates.
Step 2 - Add In-house Candidate Numbers
To assign a candidate number to a student who doesn't have one yet, tick the boxes next to the students. Click the Bulk action button to select Assign Candidate Numbers.
Choose the number to start assigning to the candidates from, and click Assign numbers.
Top Tip: To select the number for each student, select one student at a time.
If there is already an In-house candidate number assigned, this cannot be edited from this page.
- If there is a lock, the number is set from the student's external exam candidate number and cannot be changed from here. To edit this, change their external candidate number.
- If there is no lock, the In-house candidate number has been set and cannot be updated, apart from by assigning the student a candidate number for external exams.
Do we need to add them as external exam candidates?
You don't need to add students as external exam candidates to enter students into in-house exams.
However, you will need to have added them as internal exam candidates to generate timetables with in-house exams.
Go to Students > Examinations > Candidates > Internal Candidates.
Click +Add and select the students to add, then click Register Candidates.
They do not need a UCI or UCN, so they should appear in the table with blank cells.
You can check whether students are external exam candidates using the ticks or crosses on the Students > In-House Exams > Candidates > Candidates page.
