Card Payments Setup - 4. Entering Controller/Owner details

This article guides you through the third step in setting up card payments in Arbor, which involves adding your school's Controller/Owner details.

Controller/Owner details

Now that you have confirmed your school's details and uploaded the required proof, you must provide the name of the controller/owner for your school.

Who is a Controller/Owner?

The school controller/owner is a person with significant management control over your school, such as a headteacher, governor, or trustee. 

The controller or owner is the individual or individuals who bear ultimate responsibility for managing the school's financial resources. The school controller is just a named person(s) and doesn't need to verify any changes or actions.

You can add multiple controllers/owners, but you must include the details of at least one controller.

The details you enter for the controller/owner (including the address) should be their personal details, not those of the school.

Entering Controller/Owner details

To start adding your school's controller/owner by clicking +Add. 

Next, enter the nominated person's details on the slide over and press Add school controller

You must include the details of at least one controller. The address you included must be the controller’s/owner’s home address, not the school’s address.

Include all of the following information for the owner/controller:

  • Job title
  • Legal first and last names
  • Date of birth
  • Email address
  • The Controller/owner's home postal address (not the school's address). The address fields below are required:
    • Home address line 1
    • City/town
    • Postcode
    • Country

If you need to make any edits to the Controller/Owner details, follow these steps:

  • Click on the name of the Controller/Owner
  • Edit their information on the slideover as needed
  • Click Save Changes to confirm your change or Delete to remove the entry completely

Avoiding issues with controller/owner details

The most common problems that occur with Controller/Owner details are related to the address you enter for them. These issues are not always apparent until later in the setup, so it is worth taking the time to get this right.

The address used in this step must be the controller/owner's personal home address (not the school's address) and must be a valid, physical address. Ensure this address is accurate and exists; if in doubt, verify its existence before proceeding using a tool like Google Maps. 

Please also avoid using abbreviations or shortening words; instead, use 'Street' instead of 'St', or 'Wiltshire' instead of 'Wilt'.
