Reduce admin time creating and updating pay scales on each of your school sites by pushing them down from the MAT MIS.
Alternatively, you can also:
- log into each school site and import the Pay Scale and Pay Scale Spinal Point templates in bulk using our Entity Importer
- set them up manually following these instructions: Managing and Updating Pay Scales
We're always looking for ways we can improve. If you have any feedback, please submit it to our product team here: Ability to create Pay Scales and push these to schools
Permissions
- Group: HR Policy: View - See Pay Scales and what information has been pushed out
- Group: HR Policy: Administer - Create Pay Scales and push them to schools
If you don't have the permission, you'll need to ask your admin team to give you permission using these instructions.
How long will it take?
- Set up a new pay scale - 15 minutes
- Create your pushdown - 1 minute
- Select institutions to push down to - 2 minutes
Before getting started
- To use this feature you must have purchased the MAT MIS Plus or Enterprise tiers. All other Arbor packages won’t have this feature by default. Want to upgrade or find out what package you’re on? Just get in contact with our Partnership Team by emailing customersales@arbor-education.com
- Pay Scales that you will push down will not link to existing Pay Scales already set up on school sites. As such, it's a good idea to speak to your schools to check what pay scales they already have set up. You may wish to remove some of these on school sites, otherwise you may end up with duplicates.
Make sure the Pay Scales you want are set up
You can import these: MAT MIS Entity Importer
You can set them up manually by going to Group Staff > HR Admin > Pay Scales. Create a new pay scale by clicking +Add.
- Add a name, start and end date, and maximum and minimum salary.
- Click into the pay scale to add pay ranges, spinal points and grades, in the same way as on the school MIS. Follow steps 2, 3 and 4 in the Setting up a new Pay Scale section here: Managing and Updating Pay Scales
If the pay scale you want to use is showing as 'No longer in Use', this is due to the end date set being in the past. Click on the pay scale to edit it to either change or remove the end date if you don't know it.
You can still push down pay scales that are marked as 'No longer in Use'.
Push down your pay scales
Go to Administration > Pushdown and click the Create new button.
Select the Pay Scale then click Create pushdown.
Top Tip: Once a pay scale is used as a template for pushdown it automatically becomes read-only in the pay scales module.
All future edits or updates to the data are actioned via the existing pushdown, and you cannot push the pay scale out again - it won't appear in the drop-down.
You'll be taken to the overview for that pay scale (you can return here from clicking on a pay scale from Administration > Pushdown).
Click on the Add institutions to this pushdown text.
Click on the Add institutions to this pushdown text.
In the slide over, tick the institutions to push this pay scale to. Click the Bulk action button and select Add institutions to pushdown.
The pay scale will then be pushed to these institutions in the background. On this page and the main Pay Scales page this will show as Pending.
You will see Success and All institutions successfully synced when the Pay scales have been pushed out. Top Tip: You may need to refresh your page.
How do we edit a Pay scale?
Where can we edit the Pay scale from?
Once a pay scale is used as a template for pushdown it automatically becomes read-only in the pay scales module.
- You cannot push it out again.
- You can no longer edit it from Group Staff > HR Admin > Pay Scales.
All future edits or updates to the data are actioned via the original pushdown.
Make edits from Administration > Pushdowns. Select the pay scale.
How to edit the Pay scale
Here you can view and edit the Pay Scale by clicking View and edit data.
Make any changes to the pay scale as needed.
On the main Pay Scales page, these changes will show as pending.
Click on the Pending pay scale, then click the Add institutions to this pushdown text.
In the slide over, tick the institutions to push this pay scale to. Click the Bulk action button and select Add institutions to pushdown.
You will see Success and All institutions successfully synced when the Pay scales have been pushed out. Top Tip: You may need to refresh your page.
You can see previous versions that have been pushed down from the Previous Versions tab.
You can see which institutions the current version has been pushed to by clicking on the View currently subscribed institutions text. This slide over will show:
- Received - the data has been sent.
- Processed - the Pay scale has been set up on the institution's site.
Delete the pushdown
Go to Administration > Pushdown and select the pushdown.
Click the Delete Button pushdown.
If this button cannot be clicked, you need to remove the pushdown from your schools. Click Delete this data from institutions.
In the slide over, select the schools, click the Bulk action button and select Remove institutions from pushdown.
If this has no effect, this is because there is a contract linked to the pay scale on the school's site. Log into the school site, remove this, and retry the deletion.
