On-the-day class queries 2090Q and 1270Q (Spring census only)

This article provides guidance for schools on resolving specific queries related to class activities during the spring census. It outlines steps to check the school timetable, adjust census times, and verify class year group assignments to ensure accurate reporting.

Schools need to include the activity of each class at the time of the spring census. Please note that these issues cannot be resolved until on or after census day.

Both of these queries can be resolved by working through the steps below:

  • Query 2090Q : Please check: Nursery pupils reported but no nursery class records
  • Query 1270Q: No classes shown for an expected year group

Step 1 - Check your school timetable

Check if your school has scheduled classes correctly for primary-age students. Make sure your timetable slots for your primary classes last the whole morning (until the start of lunch), and your afternoon session lasts the whole afternoon (until the end of the day) by following these instructions: Changing the Start and End Times of timetable slots in bulk


Step 2 - Change your census times

If you know that most of your students are doing a different activity during the time of census (such as a whole-school assembly), you can change the time of the census to bring through different classes from the Classes section of your census: Can I change the time or date for our spring census?


Step 3 - Check your classes

  • Go to Students > Enrolment > Courses > Table View
  • Refer to the table to see which year groups are assigned to which classes/courses
  • Make sure that any classes that are for single-year groups (rather than mixed) have a year group set.
  • Mixed-year classes: If you have any classes that have mixed years (eg N1 and N2 students together in one Nursery class), do not assign a year group to the course. The year group column should show blank for this mixed-year class. This will ensure that the class is recorded correctly for School Census.

Step 4 - Check your year groups

The year group code that pulls through to the census depends on the National Curriculum Grade set for the year group.

For single-year Year Groups, you therefore need to make sure the National Curriculum grade is also correctly set. If you do not check this, you could end up returning a N2 class as Year R accidentally.

To check this:

  • Go to Students > Enrolment > Pastoral > Year Groups
  • Ensure the Academic Year drop-down is set to the current year
  • Click on a Year Group
  • Check the Curriculum grade in the Year Group Overview 

  • Click on it to adjust the Curriculum grade (if needed) before clicking Save

Step 5 - Compare Census Class List

If you're seeing errors suggesting no classes are shown for an expected year group, compare your year groups in step 4 to ensure all of your year groups are accounted for in the Census Class list.

  • Go to School Census > School Census > Classes
  • Ensure each of your year groups is accounted for in the class list.

 


Step 6 - Regenerate your census

To check if the changes you made have resolved the query, regenerate your census. 

Be mindful that, if you have any courses that you have not assigned a year to these will be considered as a course that contains a mixed-year group and will be recorded as a mixed year group class in the School Census.
