Printing an Emergency Evacuation Register

If there’s an emergency such as fire evacuation, you can download a paper PDF version of your registers to print off.

For students in Registration Forms

To do this, go to the Students > Attendance > Daily Attendance page and click the green Emergency Evacuation Register button.

The PDF file will then download to your computer, which you can then find, open and print. It will by default be split into registration forms and will include student’s names, their attendance marks so far, and space for you to add their emergency mark.

Can we print registers by class?

If you’re a secondary school where students often move rooms and lessons, you may wish to change the default to include all current lessons rather than just registration.

To change which format to use, contact the Arbor Support Team if supported by Arbor, or your Support Partner if not supported by Arbor.

Can we create one for staff?

It is not possible to create one for staff, as staff are presumed present unless an absence is recorded: Can we record staff attendance in Arbor?

Why are marks missing?

Not everything you can take attendance for will be included in the register. Not included are:

  • Standard Clubs
  • Wraparound Care Clubs
  • Trips
  • Interventions
  • Internal Exclusions
  • Detentions
  • School Events

Please note that we only include Internal Exclusions when Emergency Evacuation Register Type: Include current sessions? is set to Yes. This is off by default.

  • Are there any tips about the best way to manage this? It seems a lot of paper to print off daily and a significant time delay if the office have to print off before evacuating a burning building.

  • Hi Nicola, that's a great question! We wouldn't recommend trying to quickly print all these registers in the case of a fire evacuation if all of your school is based in the same building! Instead, there's two option for you:

    1. Attendance can be taken on portable devices such as a tablet or laptop. As Arbor is cloud-based, teachers can log into Arbor and take the registers from anywhere (provided your internet reaches).

    2. As you're a primary, it's likely you have the same lessons at the same time each week. In this case we'd recommend printing out one set of these for the whole week and keeping these in a folder ready for an evacuation. As long as you make sure to replace them when a student moves classes or in unenrolled, they will still have the right list of students for you to mark.

    Can you make any suggestions as to the best way to take an Evacuation register for our school that has pupils in lessons not necessarily the same as their initial form class?

  • Hi Cheryl, in the video you can see there's the option for us to change your emergency evacuation register so it displays all your lessons, not just form lessons. To change the format, just get in touch at myteam@arbor-education.com
