This article explains how to track parental engagement across schools using the MAT MIS system. It details the features available for monitoring parent interactions through the Parent Portal and Arbor App, including logins, in-app messages, emails, and SMS communications. It also outlines the necessary permissions, prerequisites, and provides tips for using the audit tool effectively.
You can see each of your schools' progress in engaging parents with the Parent Portal and Arbor App, or communications, without needing to log into school sites.

Permissions
To access this page, you'll need either the Group: Monitor: Administer or Group: Monitor: View permission. If you don't have permission, you'll need to ask an administrator to give you permission following these instructions.
Before using the audit page
To be able to use this page, make sure:
- You have purchased the MAT MIS Plus or Enterprise tiers. All other Arbor packages won’t have this feature by default. Want to upgrade or find out what package you’re on? Just get in contact with our Partnership Team by emailing customersales@arbor-education.com

You have an active data-sharing agreement set up between your MAT MIS site and your school’s sites to allow the data to be populated. You can check they have been confirmed by following the instructions in this article.
Using the audit tool
There are four pages:
- Parent Portal Logins
- In-App messages
- Sent Emails
- Sent SMS
Just go to Analytics > Parental Engagement Overview and select the page from the left-hand menu.
Top Tip: Click on any school within the Data tabs to drill down into that school's demographic of year group split, or look at individual students.
Parent Portal Logins
This page will show the percentage of guardians that have logged in. Click on the filters to change the date range and see the figures as they were for different dates.
- Data - For each school, shows the percentage of currently enrolled students with Guardian Logins, Average number of Guardian Logins per week and the percentage of currently enrolled students where their guardians haven't logged in.
- Demographics - For each demographic across all your schools, this shows the percentage of guardians who have and haven't logged in. Top Tip: Scroll to the bottom to see a total figure.
- Year Group - For each year group across all your schools, this shows the percentage of guardians who have and haven't logged in. Top Tip: Scroll to the bottom to see a total figure.
Sent In-App Messages
This page will show the percentage of guardians that have read their In-App Messages. Click on the filters to change the date range and see the figures as they were for different dates.
- Data - For each school, shows the number of messages sent, the percentage read, the average number sent per week, the percentage of currently enrolled students where guardians have unread In-App messages, and the percentage of currently enrolled students without at least one sent In-App message.
- Demographics - For each demographic across all your schools, this shows the percentage of In-App Messages that have and haven't been read. Top Tip: Scroll to the bottom to see a total figure.
- Year Group - For each year group across all your schools, this shows the percentage of In-App Messages that have and haven't been read. Top Tip: Scroll to the bottom to see a total figure.
Sent Emails and Sent SMS
These pages will show the percentage of emails and SMS that have been delivered. Click on the filters to change the date range and see the figures as they were for different dates.
- Data - For each school, shows the number of messages sent to primary guardians, the percentage that have been successfully delivered, the average number of messages sent weekly and the percentage of currently enrolled students where guardians have had no emails sent to them.
- Demographics - For each demographic across all your schools, this shows the number of messages sent. Top Tip: Scroll to the bottom to see a total figure.
- Year Group - For each year group across all your schools, this shows the number of messages sent. Top Tip: Scroll to the bottom to see a total figure.
FAQ
What if a school hasn't switched on the Parent Portal and Arbor App?
They will show on the tables but their figures will be 0.
What if a school doesn't have Communications?
If a school doesn't have this area, they will show on the tables but their figures will be 0.
Not all of our schools are on the page?
First, check you have an active data-sharing agreement set up between your MAT MIS site and your school’s sites to allow the data to be populated. You can check they have been confirmed by following the instructions in this article.
Why can't I access this area?
The feature is available to customers on the MAT MIS Plus or Enterprise tiers. All other Arbor packages won’t have this feature by default. Want to upgrade or find out what package you’re on? Just get in contact with your Account Manager.
When are the figures updated?
These figures are not real time, but update once a day in the evenings.
Can we include current students only?
The figures will include all students with an enrolment at any point in the date range, so may include students who are no longer enrolled. There isn't a way to exclude these students.
How does this work with combining messages?
When sending communications, you can combine messages to send one message about multiple students.
- The totals for All Students will only count messages sent about multiple students once, to reflect the actual number of messages sent.
- If you total up each individual number sent by year group for example, it won't add up to the total figure reported because in adding these up, some messages would be double counted.
Is this different to parental engagement on the School MIS?
The MAT figures can be adjusted for any time frame, but on the School MIS, the figures will look at the current academic year only: Parental Engagement
