Workforce Census FAQ

What should we do if our school is closed on Workforce Census day?

If the census date is not reflective of a typical Thursday at your school, we will not change any of your site settings.

For example, if there is a teacher training day, an inset day, or if the census collection date falls within a school holiday such as half term, you will need to complete your on-the-day information (such as staff counts) as if it were a different, unaffected day.

What permission do I need to resolve and fix errors on the Workforce Census?

When working on the Workforce Census, you will require the following permissions:

  • School: Data Returns: Administer - This allows you to access the Workforce Census.
  • Staff Profile: All Staff: Basic HR Administration - This allows you to manage ID documents and update eligibility for the staff workforce census.
  • Staff/HR:School: HR Policy - This allows you to edit Positions.
  • Staff Profile: All Staff: Contract Management - This allows you to add positions to staff members.

If you do not have permission to complete an action, ask a member of your admin team to assign you the required permission using this article.

How do I record return-to-work interviews and staff absence forms?

We do not have a functionality in Arbor to specifically record return to work interviews or complete forms.

To add a completed form, you can go to the staff member's profile and select the absence. You can then add an attachment to the absence.

Can I record Keeping in Touch (KIT) days while on Maternity or Paternity Leave?

No, Arbor does not have the functionality to record KIT days. You can instead record the salary for KIT days as an Additional Payment.

How do I record staff on zero-hour contracts?

As stated by the DfE in the Workforce Census Guide section 4, you should not record contracts with 0 in the hours field in the Salary section of staff contracts. "Hours for staff on zero hours contracts should reflect the hours they work in a typical week".

For staff on flexible 'zero hours' arrangements where the hours worked cannot be determined, what you should do depends on whether they are present in the school on census day.

Does the Workforce Census use Arbor business roles?

No, Arbor business roles are just for permission management. Staff members can have multiple Arbor business roles, but these will not be exported in the Workforce Census.

What is exported is the staff member's post which can be found on any active Contract. To review the Business Category and Census Role Identifier for each post, go to School > All Staff > HR Admin > Positions.

  • In Use
  • Historic
  • All

We would recommend that you review the In Use and Historic tabs to make sure that you are satisfied with what is being exported.
