Attendance, Timetabling and Registers FAQ

This article covers common questions regarding the migration of attendance, timetables, and registers to Arbor. If you cannot find an answer to your question here, check the dedicated section of our Help Centre on this topic here.

Please note the following can vary for a GroupCall API migrator, we are working on adding the GroupCall Migrator specifications to this guide. If you need to raise any data discrepancies post migration please contact Arbor support or your dedicated partner and we will be advised of the next steps.

How do we migrate lesson times?

The way we migrate lesson times will depend on whether we migrate lesson attendance for your school. Please see this article to see whether we migrate lesson attendance for your school type: How do we migrate student attendance?

  • If we do migrate lesson attendance for your school, the lesson times for future lessons will match your existing timetable.
  • If we do not migrate lesson attendance, such as if you are a primary, please follow the instructions below.

Because we don't migrate a timetable for primary schools, we'll create lesson slots for you for AM and PM roll call. These have the default times of 8.30-12.00 and 12:30-15.00.

Do we migrate Room Changes?

No, we do not migrate Room Changes and Room Closures from your previous MIS provider.

If you logged ad-hoc room changes in your previous MIS, in Arbor, lessons will be attached to their regularly timetabled room. For example for examinations, the exam will show in the right room, but any classes moved due to exams would show in their original room.

You'll need to follow these instructions to re-enter any room changes: Moving a class for multiple lessons.

Do we migrate Timetable Periods?

We do not migrate Timetable Periods. This is because this setting is optional in Arbor.

If you don't have Timetable Periods, your timetables will show the lesson times, rather than the period the lesson falls into.

Do we migrate course and class Subjects?

No, we do not migrate subjects for courses or classes from any MIS provider. If you need to add these, you can see how to this in bulk here: Bulk set course Subjects.

Do we migrate course and class year groups?

No, we do not migrate year group information for courses an classes.

How do we migrate Events?

We migrate the event type, timetable slots, location, schedule (times), staff and students assigned to the event from SIMs only.

If you have moved from SIMS and want to edit events, or you've moved from another MIS and want to schedule events for staff or student timetables, follow these instructions.

We migrate registration events that were stored as class attendance or statutory roll call attendance. You may see that you can't take attendance for or see past attendance for registration events because they were set up as events. You'll need to set them up as a course and remove the events to prevent timetable clashes.

We do not migrate events other than lessons (such as non-contact activities) from any other MIS providers. For example, from Progresso, we only migrate 'Timetable' type events, not meetings etc.
