Use this article to add an ad hoc credit note to a top up account, such as Meals. Please note that you cannot add Credit Notes to Clubs or Trips as these are not top up accounts.
Permissions
- Finance: View - See credit notes, and be able to access the Payments area of profiles.
- Finance: Administer - Manage and add credit notes.
If you don't have permission, you'll need to ask your admin team to give you permission using these instructions.
Add a credit note
Go to the person's profile and go to Payments in the left-hand menu. Select the account and go to the Credit Notes page. To then add a new Credit Note, click +Add on the right-hand side of the page.
Fill in the details on the slide over, including the bill payer, amount and any narrative, then click Credit account.
Delete a credit note
Once added, it is not possible for school staff to delete a credit note. If a credit note for a top-up account has been added in error, please add a new record, like an invoice for the same amount, that cancels it out.
