How to view the timetables of all staff in a department

This article explains how to view and export the timetables of all staff members in a department, requiring Calendar: Administer permission. It details the steps to select staff manually or by department, and how to download the timetable in various formats.

There are several reasons why you may wish to view the timetables of all staff members in a department at one time, for example to find suitable times for observations or meetings or when classes are being re-allocated. 

This article explains the ways you can do this and any potential considerations. 

Permissions 

To view and export the timetables of all members of staff in a department, you will need the Calendar: Administer permission. If you don't have the permission, you'll need to ask somebody to give you permission using these instructions

Step 1 - select your staff

Selecting all staff members in a department manually

This option will allow you to view all sessions in the staff members calendar, including form time.

First go to School > Timetable > Staff Timetable > Staff Timetable and click into the filter at the top of the page

In the filter options, search and select all of the staff members in the department in Filter by...

You can also choose which activities you would like to view for each staff member by ticking the different Showing options.

Click Save Changes and you will then be viewing the timetables of all staff in the department.

Selecting a department 

If you have already set up departments and assigned staff to them, you may wish to select them by department. 

  • To do this, you would still go to School > Timetable > Staff Timetable > Staff Timetable and click into the filter at the top of the page search.
  • In Filter by... you would search for and select the department, rather than individual staff members in the department, and press Save Changes.

If you filter the timetables by department, the only courses that will show in the timetable are courses that are linked to the department. This means it would not include activities such as form time or lessons a staff member teaches a different subject. 

 

Step 2 - Download the timetable

You can download the timetable in several different formats by clicking the Download button. 

If you spot any changes you want to make, you can change teachers, academic leads and staff assigned to registers and timetable slots
