Occasionally you may need to temporarily move or re-room a class to a different room for a lesson, or for a longer period of time. For example, if the normal classroom is undergoing maintenance.
Please note that moving a class for one lesson or permanently will not show in the Room Changes area.
Permissions
- Teaching: Administer - Changing the room via the Timetable Slots page or the Lesson Overview
- Academic Structure: Administer - Make changes from the course
- General Admin: Administer - Changing the room via the Room Changes page
- School: Extra Curricular: Administer - Change the room from the Lesson Overview
If you don't have the permission, you'll need to ask your admin team to give you permission using these instructions.
Moving a class to a different room permanently
Go to School > Timetable > Timetable Administration > Timetable Slots.
On the Timetable slots page, you are able to take several actions, use the filter panel at the top of the page and filter your timetable slots by subject, course/class or year group. This will help you identify lessons that have the same teacher or are in the same room.
Tick the lessons that need to have the room changed and then click on the Bulk action button. From the list of options click on Change Room.
In the slide over select the room you want to add/amend and then click Change Room.
Please note: You can only add one location for a class, so if the time will be split between rooms you may wish to follow these instructions.
Moving a class for multiple lessons
This option is useful if you have to change many class locations, or if the room is out of action for a week and you need to check which room is available.
Go to School > Timetable > Sites & Rooms > Room changes.
First, add the room or rooms that the lesson should be in, but is temporarily unavailable by clicking the Mark Room Unavailable button.
Update the slide over with the rooms that will be unavailable, the times and dates it will be unavailable for and a reason the room cannot be used, then click Save Changes.
The Changes Required tab will now show all lessons affected by the room closure.
You can change the room for one lesson by clicking the lesson and updating the slide over.
Please note: You can only add one location for a class, so if the time will be split between rooms you may wish to set up multiple timetable slots.
You can change the room for multiple lessons by clicking all the tick boxes next to the lessons you would like to select, and clicking the Bulk action button.
Update the slide over with the new room, then click Save Changes.

This changes the room for all the selected lessons within the affected time period. The updated rooms will then appear in the Rooms Already Changed tab.
You can check if you have any lessons left to move by taking a look at the Periods of Room Unavailability tab. Here you can see all the lessons have been assigned a new room.
Moving a class for one lesson (not recommended)
To move a class for one lesson, go to the Lesson Overview and change the location manually. However, please note that we do not recommend this way as these changes can be reverted: Room locations have changed back for lessons or events
Locate the lesson you would like to amend by clicking the lesson in your calendar, or by searching for the class in the search bar and clicking the right class, then clicking on the next lesson.
You will be taken to the Lesson Overview. Click the location field to amend it for that single lesson.
Click the orange Edit button, select the new room, then click Change Location.
Please note: You can only add one location for a class, so if the time will be split between rooms you may wish to set up multiple timetable slots.
The lesson location will then be updated. Please note that this location change only applies to the current lesson you have amended and not future lessons.
