This article provides guidance for schools on resolving specific errors related to Post-16 programmes of study in the DfE validations section. It outlines steps to check programme setup, student enrolment, and linking qualifications to awards. Key errors discussed include 1992, 2766, 2092, 2870, 1993, and 1887, along with a query 2708 that may arise during the census submission process.
If you have Post-16 students in your school, you’ll need to provide information on their programmes of study. You may encounter errors in your DfE validations section, such as errors 1992, 2766, 2870, and query 2708Q. To resolve these, here’s some key things to check in School > School structure > Programmes of Study:
- Check you’ve set up your programmes of study correctly using this article on our Help Centre. Make sure you’ve added the planned learning hours for all years the programme is running.
- Check you’ve enrolled students into the programme instance.
Check the programme instance has been linked to the award correctly. Click into the Linked Qualification Award section and make sure you have either linked to an award set up in your qualification offering (see how to set up awards here), or added in a placeholder name and award.
Post-16 Programmes of Study errors
Remember, errors must be resolved in order to submit your census successfully.
Make sure you’ve set up your programmes of study correctly by checking this article on our Help Centre.
1992
First, make sure the student has an enrolment recorded for your school. If they were not enrolled, they should not be added to Programmes.
If the student was attending your school, you can:
- update learning hours in bulk from Students > All Students > Bulk Update > Update Learning & EEP Hours.
- If the student was enrolled for less than the qualification period, you can add them manually from the Enrolments section of the student's profile.
You can see how to do this here: Updating the recorded hours manually
2766
For error 2766, click the error and go to the Enrolment section of their Student Profile. In Programmes, you can then amend the programme end date to the 31st July or before.
2092
For error 2092, a Programme Aim Type must be specified. Go to School > School structure > Programmes of Study and select the programme and the programme instance. Update the Programme Aim Type - you can click to set individually, or use the bulk actions.
2870, 1993 and 1887
- Error 2870 - Programme aims for the current academic year must be submitted for a pupil in year 12 or above with single or main registration at the school
- Error 1993 - Pupil does not have a study programme or T level Transition learning aim/s recorded therefore planned learning hours and/or planned employability, enrichment and pastoral hours should not be present.
- Error 1887 - Pupil does not have at least one learning aim recorded that was active in the previous academic year therefore the previous academic years planned learning hours and/or previous years planned Employability, enrichment and pastoral hours should not be present for the previous year.
Click the error and go to the Enrolment section of their Student Profile. Click +Add to add them to their programmes of study.
You can also select whether the programme is a Main Programme (also known as a Core Learning aim) for the student when adding a Programme to a student’s Student Profile.
Please be aware that the system will allow you to select Main Programme for every programme a student is enrolled in. It is your school’s responsibility to ensure you record no more than 1 core learning aim per student, per Programme Aim Type.
You'll also need to double-check that the programme has been linked to the award correctly. To do this, go to School > School structure > Programmes of Study and select the programme and the programme instance. Click into the Linked Qualification Award section and make sure you have either:
- linked to an award set up in your qualification offering (see how to set up awards here)
- added in a placeholder name and award if the basedata for a qualification hasn't yet been released. Make sure this is formatted with no spaces before or after, and the full QAN with no slashes.
Post-16 Programmes of Study queries
You may also encounter post-16 queries in your DfE validations section, such as the ones shown below. Queries do not have to be resolved, but if you do not resolve them, you will need to supply a reason why they should remain when submitting your census to COLLECT using the notepad entries.
Query 2708
Query 2708 arises when a student was not given a core learning aim last year.
If this is correct, you can write a note when submitting your census in collect.
If this isn't correct, you can resolve this by making sure you have set up all your programmes and programme instances for last year. Make sure the student has been enrolled in a programme that covers the last academic year. You may need to extend your programme instance back a year.
You can then make sure the student has been enrolled into it and it is set as their core learning aim on their profile in the Enrolment section.
You'll also need to double-check that the programme has been linked to the award correctly. To do this, go to School > School structure > Programmes of Study and select the programme and the programme instance. Click into the Linked Qualification Award section and make sure you have either linked to an award set up in your qualification offering (see how to set up awards here) or added in a placeholder name and award if the basedata for a qualification hasn't yet been released.
