Seeing charts of Attendance over Time

Use our Attendance Over Time pages to see whole-school attendance, attendance for a specific Year Group, a single student, or a Department charted over time. The whole-school version of this page has two tabs, Roll Call Attendance and Lesson Attendance, so you can view your data using the measure that's right for your school. The year group, student profile and department versions show lesson and intervention attendance only.

Important note

If you are a Primary school, please note that for primaries, we only migrate your statutory roll call attendance marks, not lesson attendance marks. As the Lesson Attendance graph only displays lesson attendance, not statutory roll call attendance, it will display 0% for any dates from before your school moved to Arbor.

Permissions

  • You need the Student Profile: Attendance: View All Students permission to open Attendance Over Time pages.

If you don’t have these permissions, ask your admin team to grant them using these instructions. 


Where do I find Attendance Over Time charts?

For whole-school attendance (statutory and lesson attendance):

  • Go to Students > Attendance > Attendance Over Time 

 

For a specific year group's attendance (lesson attendance only): 

  • Go to Students > Enrolment > Year Groups 
  • Click on a Year Group
  • Select Attendance over Time from the left-hand menu
     

 

To see attendance for your department (lesson attendance only) if you're a Head of Department:

  • Go to My Items > My Departments
  • Select your department
  • Click  Attendance in the left-hand menu

To see attendance over time for a specific student:

  • Go to the student's profile
  • Click Attendance in the left-hand menu to expand the list
  • Click Statistics
     


     

  • Select the Over Time tab


How do I adjust the charts?

Use the filter bar at the top of the pages (excluding student profiles) to select different student groups or demographics to compare, and to adjust the date range of data included in the chart.
 

 

Each student group you add becomes its own line on the chart, allowing you to easily compare different groups.

For each group you add, a button appears above the chart. Click these buttons to hide/unhide a specific group on the chart.

Top Tip: If you select a custom group in the filters, we don't show attendance data for students who are no longer part of the group. This means that the graph will drop to 0 if there are no members.

Important note on Student Profiles

This filter bar is not available on Student Profiles. You can, however, change the academic year shown using the Attendance for dropdown in the top-right corner of the page. You can also use this to show attendance by the past week, month or current term.



Understanding the two tabs on the Whole-School page

On the whole-school Attendance Over Time page (Students > Attendance > Attendance Over Time), you see two different tabs.
 

The Roll Call Attendance tab

Uses "best-of" logic: if a student is absent in a lesson but present in the roll call - for example, because they were pulled out of a lesson into an intervention - they are counted as present in the roll call. This gives a more accurate picture of overall attendance for schools that use interventions, and avoids the artificial dips you may see in the lesson-by-lesson chart.

 
This tab is also a particularly useful starting point for recently migrated primary schools, whose lesson attendance data starts from the point they started recording attendance in Arbor
 

Lesson Attendance

Shows attendance broken down by individual lesson and intervention marks, without applying roll call logic. This is the same methodology used in charts on year group, department and student profile pages.
